What are the responsibilities and job description for the Scheduling Coordinator position at BROWARD CHILDRENS CENTER?
Compiles and maintains records and office activities of Program. Performs a wide variety of duties by utilizing knowledge of systems or procedures. The Social Services Scheduling coordinator will review assessments of medically complex clients, and provides ongoing scheduling support to program parents, assist in supervision of staff, and oversee client chart management to track and report on program outcomes and data.
This person also works with the Social Services Director to plan and execute ongoing projects, events, and activities within the Social Services department.

EDUCATION and/or EXPERIENCE
High school diploma or general education degree (GED); and one-year related experience scheduling coordination or activities coordinator and/or medical training including, CNA, MA, former experience in a medical profession; or equivalent combination of education and experience in pediatric and or medical programs.

LANGUAGE SKILLS
Ability to read and interpret documents such as safety rules, operating and maintenance instructions, and procedure manuals. Ability to write routine reports and correspondence. Ability to speak effectively to clients or employees of organization. Bi-lingual Spanish (spoken and written) preferred.
ESSENTIAL DUTIES AND RESPONSIBILITIES include the following:
Social Services:
- Assist Assistant Director with daily supervision of respite staff regarding performance, client
interactions, medical care and staff following all required protocols.
- Gather and track client data for programmatic outcomes and ensure that client charts are thoroughly documented.
- Ensure that client paperwork is updated regularly and in compliance.
- Assist in coordinating monthly Social & Activity Group for social services department.
- Organize and maintain client files and staff as required by the County grant.
Scheduling:
- Schedule and coordinate staff visits per established procedures. Confirms appointments, cancels appointments and notify staff of appointment changes. Discusses and resolve scheduling conflicts or problems with supervisors. Provides schedule updates during the day.
- Assists in answering all incoming telephone calls, screens and takes appropriate messages.
- Verify/confirm direct care staff assignments and prepare necessary paperwork.
- Type updated calendars; prepare newsletters, e-mail blasts and flyers for bulk mailing or digital distribution.
- Primary coverage of the on-call emergency cell.
- Post client information in Service Plan Binder including activity log sheets.
- Maintain department’s electronic scheduling and client database.
- Assisting the Social Services Director with social service related programs and events such, nutrition education classes, parent groups, sibling groups and social work team meetings
- Attend all Social Services Department in-service training and community workshops/seminars as scheduled
- Serves as liaison between staff and clients.
- Use discretion when assigning staff to meet clients’ needs based on staff expertise.
- Assist with the orientation and training of staff on Respite policies and procedures and conduct spot visits checks when needed.
Medical:
- Maintain accurate records of staff medical trainings and compliance for social services department.
- Coordinates internal assessments of medically complex clients upon admission and intake.
