The Program Specialist supports the execution of strategic initiatives across departments, ensuring that projects stay organized, on time, and aligned with company goals. This role reports to the Director of Strategic Programs and works closely with stakeholders across multiple teams, including Operations, Technology, and Partner Relations.
They serve as the foundation of the Strategic Programs team—responsible for tracking projects, organizing documentation, and ensuring effective communication between teams and our clients. The ideal candidate is highly organized, detail-oriented, and proactive in identifying ways to improve efficiency. They take ownership of their work, ask thoughtful questions, and thrive in a collaborative environment.
Essential Functions / Duties Performed Regularly:
- Data & Reporting Across Strategic Programs (BP Finance, Consortium, Settlements)
- Collect, input, and maintain program data to track performance.
- Prepare visual summaries and dashboards.
- Communication & Collaboration
- Facilitate coordination between departments to keep projects moving.
- Provide clear updates to team members and stakeholders.
- Support meeting preparation, note-taking, and follow-up actions.
- Collaborate with B2B marketing on promotional materials, website enhancements, and law firm communications about upcoming opportunities and advancements
- Project Coordination
- Support planning and organization of cross-functional projects.
- Maintain program documentation, status reports, and schedules.
- Track deliverables and ensure timely follow-up on action items.
- Process Improvement
- Assist in developing and refining standard operating procedures and uploading them to Trainual.
- Research best practices and tools to increase team efficiency.
- Recommend enhancements to streamline workflows.
- Other Duties as Assigned
Qualifications:
Minimum Position Requirements
Education: Associate's degree or an equivalent combination of education and work-related experience
Work Experience: Minimum 1 year of related experience in process improvement, account management, sales, or customer service. Experience as a Paralegal is a plus. Experience working cross-functionally and building consensus with internal and external stakeholders in support of strategic objectives.
Additional Work Experience Requirements:
- Track record of delivering metrics-based results on a monthly/quarterly basis
- Background in process improvement through automation/software & change management
- A plus for experience using project management tools (Salesforce or Monday.com).
- Excellent written and verbal communication abilities
- Adept at conflict de-escalation and dynamic problem-solving to improve/maintain client relationships
- Strong organizational and time management skills
- Ability to manage multiple priorities in a fast-paced environment
- Proficient in Google Workspace (Sheets, Docs, etc) or Microsoft
- Detail-oriented and proactive problem solver
- Curious and eager to learn; asks questions to understand context
Licenses or Certification: Coursework or certification in process/project management a plus.
Physical Requirements: Standing, walking, sitting, repetitive movements, and use of mechanical controls, such as a keyboard, are frequently required.
