Job Summary
We are seeking an experienced, reliable, and detail-oriented Office Administrator to support the daily operations of our food wholesale and importing business. This hybrid role is ideal for a seasoned administrative professional who can manage multiple priorities, maintain accurate financial and operational records, and support cross-functional teams with minimal supervision.
The Office Administrator will play a key role in ensuring smooth office operations by handling administrative and bookkeeping functions, coordinating with logistics and sales teams, supporting vendor communications, and maintaining organized documentation.
We are a food wholesale and importing company specializing in Asian confectionery, supplying products to top-tier national and regional retail chains across the United States and Canada. This position offers the opportunity to work closely with experienced professionals in a fast-growing, retail-focused environment.
Key Responsibilities
Administrative Duties
- Serve as the first point of contact for phone and email inquiries
- Assist with order processing, shipping documentation, and customer communications
- Coordinate with freight forwarders and customs brokers on import documentation
- Maintain organized digital and paper filing systems for vendor, customer, and shipment records
- Support inventory tracking and coordination with internal teams
- Manage office supply orders and general administrative logistics
Bookkeeping Ability (Big plus but optional)
- Handle accounts payable and accounts receivable, including vendor payments and customer invoicing
- Record and maintain financial transactions in QuickBooks
- Reconcile bank accounts, credit cards, and vendor statements
- Collaborate with external accountants on tax filings and year-end reporting
Qualifications
- Minimum 2 years of experience in office administration and bookkeeping
- Experience in wholesale, import/export, or logistics operations is a strong plus
- Proficiency in QuickBooks and Microsoft Office Suite (Excel, Word, Outlook)
- Strong attention to detail and accuracy, especially in financial record-keeping
- Excellent communication, organizational, and time-management skills
- Ability to multitask and work efficiently in a fast-paced environment
Preferred Qualifications
- Experience with customs documentation, freight tracking, or vendor communications
- Familiarity with inventory management (Quick Book)
- Associate’s or Bachelor’s degree in Accounting, Business Administration, or a related field
- Bilingual or multilingual abilities are a plus (especially Spanish, or other trade-related languages)
