Responsibilities
- Works closely with the Senior Director of Operations and prepares orders/purchasing, maintains vendor files and communicates with vendors as needed, and assures that all are collected and submitted as required by our fiscal policies.
- Maintains an active list of purchases to ensure we are keeping within the budget of the school.
- Creates and maintains RFPs to ensure invoices are processed and paid in a timely manner.
- Creates and oversees all purchasing and RFP trackers for updates.
- Oversees the school supply distribution system and inventory.
- Places orders and tracks the status of the NYSTL/FAMIS purchasing website.
- Assist and oversee meal counts and billing for meals as needed in support of The Door.
- Ensures a welcoming environment in the Main Office for students, families, and staff
- Manages OPT/ATS MetroCard distribution, and single trip cards and ensures accurate ATS reporting.
- Oversees daily main office operations, including managing staffing needs and ensuring exceptional customer service delivery.
- Supports Senior Director of Operations in managing the school’s emergency readiness efforts by conducting Evacuation, Shelter-In, or Lockdowns, as required for compliance purposes
- Manages and ensures compliance for returning student records including: annual medical forms, walking trip permission slips, social media/photograph consent, FERPA consent for students 18 years old or older, up-to-date contact information (“blue cards”), data sharing consent, and other forms as directed.
- Manages student immunization records, creates, and oversees the communication to parents/caregivers regarding required vaccines to ensure school compliance.
- Manages and oversees operations for all school trips including: confirming academic leadership approval, student rosters, chaperones, and coverages are arranged, as well as preparing permission slips, trip passes, securing busing, and/or DYCD (Department of Youth and Community Development) passes for all planned school trips.
- Manages student locker distribution and maintains records of all lockers.
- Manages operational and logistical support for all BSA events and coordinates catering, set-up, and breakdown of spaces along with the rest of the operations team.
- Liaises with facility staff to ensure the school is clean and submits work orders into RemedyForce as needed for repairs/events.
- Oversees and maintains common spaces such as the teacher workspace.
- Supports the Admissions & Parent Coordinator with new student enrollment and general recruitment tasks.
- Support school activities during and after school including parent/caregiver conference nights, fundraisers, cultural events, and celebrations (graduation, prom, senior night, award ceremonies, etc.)
- Support the Senior Director of Operations with all new staff onboarding materials.
- Assists in monitoring staff attendance and accurately inputs time and attendance data to ensure timely and efficient payroll processing.
- Special projects as assigned by the Senior Director of Operations and Head of School.
- Bachelor’s degree in a related field or equivalent experience.
- Minimum experience of 3 years in a fast-paced, complex environment preferred
- Experience working in a school setting, non-profit serving teens, or government preferred
- Knowledge of ATS/SchoolTool(SIS Systems)/FAMIS a plus
- Excellent written and oral skills required
- Intermediate computer skills (especially MS Office) required. Knowledge of G Suite is a plus
- Demonstrated interest in the principles of youth development
- Excellent demonstrated organizational skills and a willingness to organize and declutter
- High energy, enthusiastic self-starter that is excited to work in a fast-paced, results driven school environment
