SUMMARY

The purpose of this job is to support both the Residential and Vocational Program Departments in bringing new families to BiG through the application process. Handles all calls/inquiries from prospective families and walks them through the admission process.

  • ESSENTIAL DUTIES AND RESPONSIBILITIES include the following. Other duties may be assigned.

  • Manage all prospective inquiries and counsel according to their needs. Be able to explain the mission and vision of BiG as well as the application process
  • Create, update, and maintain all Citizen/Resident applications and files
  • Process new applications and set up the admissions schedules, acting as liaison between the families and the appropriate campus/staff. Keep families informed of their progress at each step in the admissions process
  • Schedule, facilitate and participate in the Family Interview acting as the host
  • When an applicant is offered enrollment, send out all paperwork needed to process their enrollment. This includes informing them of TWC counseling if needed. Once enrollment paperwork is submitted, make sure all is complete and get them scheduled for a start date.
  • Keep the admissions calendar and Trello up to date noting any events scheduled. Send reminders to both staff and families regarding upcoming events.
  • Meet with the Program Director and Lead supervisors on biweekly basis to review where applicants are in the process and help to determine schedule
  • Responsible for maintaining Citizen files which will include any updates from parents, incident reports, or anything from payroll department. Also gathering annual paperwork which needs to be updated and tracking to make sure everything is received.
  • Act as lead in the scholarship process informing parents of annual application deadlines, processing applications, compiling information, and meeting with the scholarship committee. Communicate all decisions with families and facilitate all paperwork to make changes
  • Act as liaison between BiG and families sending out any emails and/or updates across all campuses
  • Help facilitate the annual TWC counseling at all campuses and make sure incoming Citizens are compliant with DOL/TWC regulations.
  • Help Program facilitate bi-annual time studies. Give all info to payroll department to process the payrate changes
  • Provide documents, files, correspondence, etc. for yearly licensure renewals (DADS, DHS, DOL)
  • Be present before and after tours to meet with prospective families.
  • SUPERVISORY RESPONSIBILITIES: Work closely with the Vocational Program Director, the Residential Director, and each Campus Lead Supervisor to facilitate tours and all admissions events.

  • Education and Experience – Prefer a bachelor's degree from a four-year college or university or one to three years related experience
  • Skills and Abilities - Must have strong oral and written communication skills and possess the ability to meet and interact with the public. Ability to plan, organize and follow projects through to a successful conclusion is essential to success in this position. Incumbent must be able to successfully complete multiple tasks while under pressure of meeting deadlines. Must also be proficient in Microsoft Office systems including PowerPoint, Word, Excel, and Teams.
  • Language Skills-Employee must have excellent oral and written communication skills, especially the ability to be a good listener and effectively communicate the mission and vision of BiG. Ability to read, interpret, and communicate documents such as safety procedures and policy and procedure manuals. Ability to write comprehensive reports and correspondence. Need to have the ability to discuss confidential matters with families and delicately handle difficult discussions
  • Mathematical Skills-Must possess the ability to do all basic math calculations.
  • Reasoning Ability – Candidates should have the ability to solve practical problems, multi-task and prioritize duties. There are often numerous deadlines that need to be met and incumbent must understand how to juggle skills. Must be able to apply common sense and sound judgement in a wide variety of problems
  • Interpersonal Skills-Must be a good communicator and be able to listen to prospective family's concerns
  • PHYSICAL DEMANDS – The physical demands described here are representative of those that must be met by an employee to successfully perform the essential functions of this job. The physical demands are representative of a routine office environment, including sitting and working at a computer terminal for prolonged periods of time. Mobility is required to stand and walk while conducting tours or delivering documents throughout the campus. Talking or hearing over the telephone is required. Specific vision abilities required by this job include close vision. Reasonable accommodations may be made to enable individuals with disabilities to perform the essential functions
  • WORK ENVIRONMENT – The work environment is that of a busy administrative office in a climate-controlled building. Occasionally the incumbent will be required to walk to and from buildings while giving tours or driving to other campuses.
