Job Overview
We are seeking a detail-oriented and proactive Scheduling Clerk to join our administrative team. The ideal candidate will excel in managing appointments, coordinating schedules, and providing exceptional customer support. This role requires strong organizational skills, proficiency with office technology, and the ability to handle multiple tasks efficiently in a fast-paced environment.
Duties
- Data entry of all information into secured database
- Copy/Mail appointment letters generated by Scheduling department on the previous day to all applicable parties noted on referral form
- Make reminder phone call to claimant’s 2 business days before examination
- Mail reminder post card to claimant’s 5 business days before examination
- Process any and all returned mail received – note system and resend to recipient
- Copy/Mail all completed IME reports submitted to clerk from QA department
- Process IME-3 form with cover letter to WCB (10 calendar days from date on form)
- Scan completed IME report 1 business day after mailing of report to all applicable parties
- Email completed IME report to requesting party and WCB
- Manage and coordinate appointment scheduling for medical examinations and file reviews with accuracy and timeliness.
- Utilize multi-line phone systems to answer inquiries, provide information, and direct calls appropriately.
- Maintain organized records of appointments, client communications, and related documentation through digital databases.
- Provide excellent customer service by addressing client questions professionally and courteously via phone or email.
- Collaborate with team members to ensure efficient workflow and adherence to scheduling priorities.
Requirements
- Proven experience in office management, clerical work, or administrative support roles
- Strong computer literacy with knowledge of Microsoft Office Suite (Word, Excel, Outlook) and Google Workspace applications.
- Excellent organizational skills with keen attention to detail and accuracy in data entry and proofreading.
- Effective phone etiquette skills with experience managing multi-line phone systems.
- Bilingual abilities are a plus to assist diverse client needs.
