Job Overview
We are seeking a dynamic and highly organized Administrative Assistant to join our team. This vital role offers an exciting opportunity to support daily office operations, enhance efficiency, and contribute to a positive work environment. You will interact with visitors, funders, staff, residents, contractors, and government representatives.
Duties
- Greet all visitors to the Pacific Street social service office and notifies appropriate staff of their presence as needed.
- Answers phone, directing callers to appropriate extension and/or taking messages as needed.
- Maintain inventory ofsupplies, coordinating the purchase and distribution ofsupplies for the office staff.
- Process bills, invoices, petty cash, and check requisitions as needed. Act as liaison with BCHS Fiscal Department on fiscal matters for the office.
- Sort incoming mail and distribute appropriately.
- Arrange for deliveries and prepare mail to be sent
- Support program staff in daily functions. This will include but not be limited to, 1.) Preparing documents for government oversight agencies and assisting with related reporting, 2.) Creating and sending CAP charts, 3.) Preparing correspondence, spreadsheets, and tracking and order forms and assisting with audit preparation and other reports.
- Interacts with agency Messenger.
- Help with building front desk coverage from time to time when need arises. Help with greeting building guests and coordinate with building security.
Qualifications
- Must be self-motivated and possess excellent computer skills, and proficiency with spreadsheets and word processing.
- Must possess strong communication skills.
Education
- Minimum of associates degree in related field.
- Bachelor preferred.
Salary
- $26.44 per hour
