Summary
The Receptionist serves as the first point of contact for visitors, clients, and employees. This role will be responsible for the professional and efficient management of office lobby, visitors, telephone calls/inquires, as well as a variety of clerical duties that support the daily office presentation and operation.
Duties And Responsibilities
- Greet and assist all visitors/vendors in a professional manner.
- Promptly answer incoming calls/inquiries by directing and/or relaying messages and providing information related to the company.
- Ensure lobby area, conference rooms, kitchen, restrooms and common areas are kept neat, clean and stocked with appropriate supplies.
- Restock all shared copy machines with paper and ensure they are in working order.
- Handle the ordering and invoicing of office and kitchen supplies.
- Oversee the scheduling/reserving of three conference rooms.
- Responsible for sorting/distributing incoming and outgoing mail at start and end of every business day, as well as delivery of interoffice mail between offices.
- Sign for deliveries when necessary and notify recipients.
- Ensures postage system is operational and keeps supervisor informed of postage needs for meter.
- Support HR with onboarding activities such as preparing desk areas for new hires and badges.
- Help coordinate and set up internal office activities and employee events such as office breakfast, happy hour, birthday treats, and holiday lunches.
- Assist business leaders with special events that require ordering catering.
- Back up executive assistant to President as needed.
