Operations Specialist II (OSEI)

Office of STEM Engagement Initiatives at the Broad Institute supports students and early career trainees entering and succeeding in STEM careers. By building and sustaining partnerships within the community and training members of the Broad in relevant skills like scientific communication and mentorship, we empower Broadies to be ambassadors for their science. Together, these efforts prepare the next generation of scientific leaders.

The Operations Specialist II will work in close collaboration with the Associate Director to provide operational support across all OSEI programs with the goal of piloting and implementing new practices for program efficiencies.

Hybrid role: 2 days per week on-site during the academic year, increasing to 5 days per week on-site during summer program dates. Occasional evening or weekend hours.

Duties & Responsibilities

  • Create a comprehensive strategy for awareness to schools and/or relevant partner institutions including generating promotional materials.
  • Coordinate with the Office of Engineering Outreach Program’s all aspects of OSEI’s collaboration with the MITES program including but not limited to hiring an instructor, recruiting panelists, onboarding staff and ensuring lab space and materials, etc.
  • Support OSEI staff with the hiring and onboarding for new and temporary staff.
  • Coordinate the distribution of evaluation tools and help track the completion of program deliverables to ensure timelines are met.
  • Coordinate with program leads to support student participant needs on-site (work with facilities for shared desk space, BITS for technology, and facilitation of all necessary paperwork, etc.)
  • In collaboration with the Associate Director, manage program budgets including tracking expenses, budget forecasting, etc.
  • Support maintenance of OSEI documents including external websites and shared drives.
  • Collaborate with AD to brainstorm and execute processes to improve team workflows.
  • Build collaborative relationships across the institute.
  • Stay informed on current and emerging trends in the life sciences industry and relevant educational resources to assist the team in maintaining high-quality program standards.
  • Document program models for institutional knowledge.
  • Support the program activities of the K-12 initiatives team.
  • Assist in all OSEI program events (i.e. BBQ, Volunteer Appreciation, Open House and Retreat).

Qualifications

  • Bachelor’s degree with 5 or more years’ work experience in project and/or operations management, or a related field.
  • Experience developing and managing multiple budgets and budget forecasting.
  • Strong computer skills, including knowledge of and familiarity with the Google suite (particularly Calendar, Docs and Drive), Microsoft Excel, SmartSheet, Slack, application management tools, and SurveyMonkey. Must be comfortable learning new software and technology.
  • Excellent communications skills, both oral and written and strong attention to details.
  • Demonstrated organizational skills, the ability to manage multiple complex projects simultaneously, meet deadlines, and work independently.
  • Ability to work with diverse stakeholders to achieve shared goals.
  • Prior knowledge supporting recruitment and hiring processes.
  • Experience with the development and use of program evaluation/assessment tools, a plus.
  • A scientific background would be a plus.
  • Grant writing experience would be beneficial but not required.

The Broad will not provide sponsorship for this position.

Pay Range: $70,000.00/yr - $94,000.00/yr

The expected base pay range for this position as listed above is based on a 40 hour per week schedule. Broad provides pay ranges representing its reasonable and good faith estimate of what the organization reasonably expects to pay for a position at the time of posting. Actual compensation will vary based on factors including but not limited to, relevant skills, experience, education, qualifications, and other factors permissible by law.
