JOB DESCRIPTION

LOCATION The British International School of Boston, Boston, MA

JOB PURPOSE ▪ You’ll enhance the Enrichment/Auxiliary programs by managing, facilitating, and organising the programs while mentoring students.

▪ The role of this position is to create a strong learning environment for both programs that is a united front allowing for inclusion and diversity.

▪ As a genuine team-player, you’ll work with various members on the Senior
Leadership team and other school divisions to improve the before/after school care, field trips, and summer programs.

MEASUREMENT

ENGAGEMENT AND INTERACTION – SCHOOL AMBASSADOR TO INTERNAL COMMUNITY

▪ Cultivate a fun and interactive environment for students during their before and ▪ Annual after school activities, school breaks, and summer program. performance

▪ You will be responsible for all marketing and advertisement of all Enrichment and review rating(s) year round programs.

▪ Collaborate with the Senior Leadership team to imagine innovative opportunities for enrichment and year-round engaging programming.

▪ Assist with supervision of Before and Aftercare, and Enrichment program offerings.

▪ Engage in the process to grow rentals to expand offerings and grow revenue while managing expenses.

▪ Manage all field trip and athletics transportation needs for both the school, break and summer programs.

LEARNING AND TEACHING

▪ Work closely with the Senior Leadership team to develop innovative ▪ Annual programming reflective of the School’s mission and its revenue goals. performance

▪ Manage the school break and summer programs inventory and supply ordering review rating(s) to ensure that all programs have proper equipment and all needs are met.

▪ Serve in an administrative role for the camp programs during the school breaks and summer. Program roles may fluctuate year over year depending on the needs of the program but will be focused on operations and logistics.

▪ Manage front line family communications - answering questions, addressing concerns, etc. utilizing the fresh desk system.

▪ Collaborate to design and implement seasonal staff training and orientation programs with specific focus on operational tasks including but not limited to: attendance, substitute staffing, day of camp role plays, and morale boosters for summer staff.

▪ Support registration and operations for breaks and summer (i.e. rosters, processing of forms and confirmation letters, parent communication, etc.).

▪ Create systems and procedures for school breaks and daily summer camp operations with focus on transportation, attendance, and compliance.

▪ Assist with necessary tasks to ensure that enrichment / auxiliary programs are in compliance with all applicable regulations of licensing and governing entities.

▪ Marketing and Communications of school enrichment / auxiliary programs
▪ Effectively promote the programs so as to achieve the enrollment and revenue targets.
▪ Ensure that enrichment programming has an effective and accurate online presence including website and social media platforms
▪ Plan and coordinate the publishing and advertising of program offerings and schedules
▪ Manage all public relations and marketing initiatives including open houses, mailers, brochures, camp fairs, and ad placement to promote and communicate the programs to prospective and enrolled participants

PLANNING AND PREPARATION

▪ Ensuring the registration for all students for the program while consistently ▪ Annual adjusting class rosters and campus locations. performance

▪ Document the payments for vendors, stipends, parent account reconciliations and review rating(s) the cost of supplies for financial reports.

▪ Maintain dependable communication and relate positively between parents and
BISB Staff members.

▪ Organize enrichment/auxiliary staff schedules and assist with the onboarding of vendor staff and the BISB Stipend staff.

▪ Oversee the operations of the Before/Aftercare and Year Round Programs including purchasing, curriculum, programming, lesson planning, trips, and quality control.

▪ Manage Summer registrations on a daily/weekly basis to maintain financial reports to key stakeholders.

▪ Maintain weekly finances in revenue and expenses for all summer programming and manage a detailed P&L worksheet prior to, during, and at the conclusion of summer camps.

FACILITY RENTALS

▪ Collaborate with the Senior Leadership team to ensure a safe and inviting ▪ Annual environment for rentals by members of the local community. performance

▪ Assist with rental bookings and billing. review rating(s)

▪ Assist with customer communications - answering questions, addressing concerns, etc. in a timely manner.

▪ If necessary, be available to conduct tours, meetings, and follow ups with renter groups.

TRANSPORTATION

  • Manage all field trip and athletics transportation needs for both the school, ▪ Annual break and summer programs. performance
  • Respond to questions or concerns from families that use bus/van review rating(s) transportation.
  • Assist with daily arrival and/or dismissals (depending on schedule).
  • Coordinate with external transportation providers to communicate schedule updates, reminders, etc.

PROFESSIONAL AND PERSONAL DEVELOPMENT

▪ Experience of working with young students, preferably with some experience with ▪ Annual an international population. performance

▪ Experience working with program instructors and working with a large team. review rating(s)

▪ Experience with the SchoolsBuddy Registration site for before/after school, field trips, and summer programs.

▪ Prior experience in a coordinator’s role leading a team of assistants.
▪ Experience with online communication with parents and staff, such as iSAMS and

SchoolsBuddy.
▪ Experience with HR Connect, managing timesheet/time off approvals.
▪ Experience with coordinating before/after school and summer classes.

PERSONAL SPECIFICATIONS

▪ Bachelor degree preferred (Education or other related fields).
▪ One or more years’ of experience in Aftercare or project management.
▪ Applicants must be able to perform physically without restrictions while monitoring enrichment/auxiliary programs’ students.
▪ Strong proficiency with Microsoft Word and PowerPoint for producing reports and presentations.
▪ Good cross-cultural, interpersonal and communication skills to interact with diverse nationalities and cultures.
▪ Excellent analytical skills – with the passion and drive to demonstrate and quantify success.
▪ Results orientated with the ability to consistently map efforts against identified KPIs.
▪ Excellent time management skills and flexibility in dealing with multi-functional tasks.
