Job Description: HR Administrative AssistantOrganization: Britelife RecoveryDepartment: Human ResourcesReports To: Chief Adminstrative OfficerFLSA Status: Non-ExemptEmployment Type: Full-Time, Remote PositionPosition SummaryThe HR Administrative Assistant provides administrative and operational support to the Human Resources Department for Britelife Recovery, a multi-state substance use and mental health treatment provider. This position supports HR functions across Pennsylvania, South Carolina, New York, and New Jersey by maintaining employee records, assisting with onboarding, tracking credentials and clearances, and supporting regulatory compliance requirements.The HR Administrative Assistant must maintain strict confidentiality while ensuring accuracy and compliance with state and regulatory requirements applicable to healthcare and substance use treatment providers.Essential Duties and ResponsibilitiesHR Administrative SupportMaintain electronic and paper personnel files in accordance with company and regulatory standardsEnter and update employee information in HR systemsPrepare employment documentation including:Offer lettersNew hire packetsStatus change formsSeparation documentationMaintain HR tracking spreadsheets and logsAssist with scheduling HR meetings and interviewsProvide administrative support to HR leadershipMaintain organized filing systemsOnboarding and New Hire ProcessingCoordinate onboarding for new employees across all locationsPrepare and distribute onboarding paperworkEnsure completion of:I-9 formsW-4 formsDirect deposit formsPolicy acknowledgmentsAssist with orientation schedulingMonitor completion of onboarding requirementsEnsure all required employment documentation is completed prior to start date when applicableCompliance and Credential TrackingMaintain personnel files in compliance with regulatory requirementsTrack required clearances and credentials including:Criminal background checksChild abuse clearancesFingerprintingProfessional licensesCertificationsTB testingCPR and First AidMonitor expiration dates and notify employees and supervisors of renewalsMaintain compliance tracking systemsEnsure required documentation is current and completeAssist with personnel file auditsRecruitment SupportAssist with posting open positionsMaintain applicant tracking logsSchedule interviewsCommunicate with candidates as directedPrepare hiring documentationAssist with pre-employment requirementsRegulatory and Audit SupportAssist with preparation for licensing and regulatory reviewsMaintain organized documentation for inspectionsAssist with corrective action tracking as requestedEnsure personnel files meet regulatory standardsAssist with internal auditsEmployee SupportRespond to routine HR-related questionsAssist employees with HR forms and documentationProvide guidance on standard HR processesDirect complex issues to HR leadershipProvide professional and courteous service to employeesConfidentiality and Professional StandardsMaintain strict confidentiality of employee informationHandle sensitive information appropriatelyFollow all company privacy policiesMaintain professional boundariesDemonstrate ethical and professional conductComply with all company policies and proceduresAdditional DutiesProvide general administrative support to the HR departmentAssist with special HR projectsSupport company initiatives as assignedPerform other duties as assignedMinimum QualificationsEducationHigh School Diploma or equivalent requiredAssociate degree or Bachelor’s degree preferredExperienceMinimum of 1 year administrative experience preferredHuman Resources or healthcare experience preferredExperience in multi-site organizations preferredKnowledge, Skills, and AbilitiesStrong organizational skillsExcellent attention to detailAbility to maintain confidentialityStrong communication skillsAbility to prioritize tasksAbility to work independentlyStrong time management skillsProfessional demeanorBasic knowledge of employment practices preferredTechnical SkillsMicrosoft Office (Word, Excel, Outlook)Electronic document managementHRIS systems preferredAbility to learn new systems quicklyPhysical RequirementsAbility to sit for extended periodsAbility to use a computer and office equipmentAbility to lift up to 20 pounds occasionallyWork EnvironmentOffice environmentRegular interaction with employees and managementFast-paced healthcare environmentMulti-state organizationKey CompetenciesProfessionalismConfidentialityAccuracyOrganizationDependabilityCustomer ServiceTeamworkInitiative
