• Prepare clear bid comparisons and recommend purchasing options based on total cost, schedule, quality, availability, and project requirements.
• When directed by Project Management, solicit and document current vendor pricing, availability, lead times, freight, and delivery information for material and equipment required for new bids and proposals in support of the Preconstruction Bid and Proposal process.
• Support change order pricing by obtaining current supplier quotations and delivery information for added, revised, or substituted material and equipment, and clearly communicate quote expirations, exclusions, and schedule impacts to Project Management and Preconstruction.

• Maintain accurate purchase order documentation, including scope, quantities, pricing, delivery location, required-on-site dates, project and cost-code assignment, exclusions, and applicable supporting records.
• Process approved purchase order revisions, releases, cancellations, returns, credits, and back charges, maintaining a complete audit trail.
Material Tracking and Logistics• Use Remarcable material management software as the primary system for tracking material status from request and purchase order through vendor fulfillment, shipment, receipt, warehouse staging, and delivery to the project.
• Maintain current and accurate material data in Remarcable, including vendor acknowledgments, expected ship dates, delivery dates, quantities, shortages, substitutions, partial shipments, backorders, and receiving status.

• Research and resolve discrepancies involving quantities, pricing, freight, taxes, delivery charges, credits, duplicate invoices, or unauthorized purchases before payment.
• Confirm that invoices and credits are assigned to the correct project, purchase order, and cost code and provide supporting documentation when requested.
• Monitor open purchase orders, unreceived commitments, unmatched invoices, pending credits, and aged exceptions; follow through until each item is resolved.
• Provide project managers with timely information on committed material costs, purchasing variances, exposure, and anticipated cost or schedule impacts.
Vendor Management and Team Coordination• Develop productive working relationships with vendors and maintain current information on contacts, product availability, lead times, delivery performance, and service capabilities.

• Maintain organized electronic records and follow company purchasing controls, approval requirements, document-retention practices, and ethical standards.
• Recommend process improvements, reporting tools, and standard purchasing practices that improve material visibility, reduce avoidable cost, and support field productivity.
• Prepare recurring procurement reports and key performance information, including open commitments, long-lead items, late deliveries, pending releases, invoice exceptions, vendor performance, and cost savings or avoidance.
