Job Overview
We are seeking a dynamic and organized Office Assistant/Receptionist to join our team! Duties
- Greets and screens clients who have appointments with BHA staff
- Screens incoming phone calls and directs them to appropriate BHA staff
- Maintains front office copy machine, keeps paper drawers filled, calls for service
- Process incoming and outgoing mail, checks drop box each morning and throughout the day
- Coordinates and assists with BHA and BCM Call Multiplier system (auto call message system)
- Assists with the preparation of the monthly BCM newsletter and sorts and prepares for monthly distribution
- BCM newsletter.
- Processes and maintains work orders, resident charges, inventory and charges into PHA Web database system, including printing quarterly outstanding work order reports
- Prepares and maintains work orders for BCM annual inspections for the maintenance department.
- Maintains efficient records, logs and files on maintenance schedules
- Prepare application packets, mail out to interested applicants
- Investigates and develops data in conjunction with program violations
- Assist in planning, coordinating, and setting of events sponsored by the Bristol Housing Authority
- Publishes, maintains and updates all office notices/signs, bulletin boards on a monthly basis
- Prints and maintains, monthly, a BCM tenant list: by last name and unit number and distributes to all necessary staff members
- Assists ED with preparing and coordinating commissioner packets for monthly Board meetings as well as maintaining Board resolutions and or minutes
- Assist in annual inspections
- Performs any other administrative duties and assists with special projects assigned by the ED
- Assist the HCV Manager, Public Housing Manager, Deputy Director and Maintenance Supervisor as needed
Experience
- Graduate of an accredited high school required; graduate of an office administrative program preferred
- Must efficiently maintain confidentiality for all federal housing clients and applicants
- Ability to efficiently multi-task, with an emphasis on paying close attention to details and deadlines
- Ability to demonstrate a personality which reflects favorably upon the Bristol Housing Authority, as well as demonstrate professionalism when dealing with specific client groups
- Ability to converse intelligently and pleasantly with the public
- Strong computer skills with MS Office Suite and MRI/HAB housing software
- Considerable knowledge of business English, spelling, grammar and preparation of letter writing and creating and updating various forms
- Bilingual abilities are highly desirable to serve diverse client needs effectively
Pay: $25.00 - $29.79 per hour
