Overview
We are seeking a highly organized and personable Receptionist to serve as the first point of contact for our organization. The ideal candidate will possess excellent communication skills, a professional demeanor, and a strong ability to manage multiple administrative tasks efficiently. This role is vital in ensuring smooth daily operations, providing exceptional customer service, and maintaining an inviting environment for visitors and staff alike. The successful applicant will demonstrate proficiency in office management, technical skills, and a keen attention to detail to support our team effectively.
Duties
- Greet, welcome, and direct our guests as soon as they arrive at our community.
- Direct visitors to the appropriate person and office.
- Answer, screen, and forward incoming phone calls.
- Ensure reception area is tidy and presentable, with all necessary stationery and material (e.g., pens, forms, and brochures).
- Provide basic and accurate information in-person and via phone/email.
- Receive, sort, and distribute daily mail/deliveries.
- Maintain office security by following safety procedures and controlling access via the reception desk (e.g., monitor logbook, issue visitor badges).
- Update calendars and schedule meetings.
- Switching lights off and making sure all office doors are closed and locked at the end of the day.
- Maintain Census Binder
- Sending out updated newsletter and menus each month.
- Responsible for handling all incoming and outgoing faxes / correspondence.
- Perform other clerical receptionist duties such as filing, photocopying, transcribing, and faxing
Qualifications
- High School diploma or GED preferred.
- Good organization skills, mature, cheerful personality.
- Knowledgeable in Microsoft office suite.
- Able to work 10:00am-6:00pm Monday - Friday
- Able to operate office equipment including copier, fax machine, postage meter, etc.
