OVERVIEW:
The Commercial Loan Closing Specialist (CLCS) is responsible for the end-to-end coordination, documentation, and perfection (closing) of commercial loan transactions. This role acts as a critical liaison between Commercial Loan Officers, legal counsel, and title companies. The Specialist ensures that all loans are prepared, executed, and boarded in strict accordance with credit approvals, internal policies, and regulatory compliance guidelines.
PRIMARY ACCOUNTABILITIES / RESPONSIBILITIES:
Performs any functions necessary including the below, within scope of authority and expertise, to provide the highest level of service and responsiveness to customers.
1. Pre-Closing Coordination & Due Diligence
- Officer Support: Partner with Commercial Loan Officers to identify and collect all necessary documents required for the pre-closing process.
- Requirement Gathering: Proactively obtain and/or ensure all third-party reports and documentation related to specific loan closing conditions and underwriting requirements (e.g., appraisals, environmental reports, UCC searches) are in the credit file.
- Insurance Management: Request insurance binders from carriers/agencies; perform a detailed review to ensure proper coverage limits, correct collateral descriptions, and accurate mortgagee/loss payee clauses.
- File Organization: Complete the loan setup sheet and pre-closing checklist for Loan Officer review and ensure the file is audit ready.
2. Documentation Prep & Review
- Document Drafting: Prepare internal loan documentation (for less complex and smaller loan sizes) and modification packages in accordance with the specific terms of the loan approval.
- Quality Assurance: Pre-closing review of all documentation and modifications—whether prepared in-house or by external counsel—to verify they mirror the approved credit memorandum.
- Stakeholder Liaison: Work directly with attorneys and title companies to resolve documentation discrepancies and ensure a satisfactory closing experience for all parties.
3. Funding, Boarding, & Post-Closing
- Loan Boarding: Collect and perform the initial review of all signed documents; submit completed packages to the Booking and Maintenance team for final review and boarding.
- Disbursement Coordination: Manage all new loan funding and disbursements, ensuring all required documentation is in hand and transactions are coordinated effectively with Loan Operations.
- Post-Closing Monitoring: Audit new commercial legal files to ensure all terms and conditions of the commitment were met.
- Exception Management: Follow up with attorneys, lenders, and borrowers to resolve missing or incomplete loan items and "trailing documents."
- Reporting: Prepare necessary reports (if applicable), correspondence, and memos within the bank’s required timeframes.
4. Compliance & Risk Management
- Regulatory Adherence: Perform all duties in accordance with prescribed regulatory compliance guidelines (e.g., BSA/AML, HMDA, Reg B).
- Policy Alignment: Ensure all actions protect the bank’s lien position and adhere to internal lending policies.
QUALIFICATIONS & POSITION REQUIREMENTS:
- Education: High School diploma or GED with Associates or Bachelor’s degree preferred.
- Experience: Three or more years’ experience in commercial loan closing, loan operations, administrative environment or as a commercial real estate paralegal.
- Technical Skills: Proficiency in Microsoft Office Suite. Experience with loan documentation software and core banking systems (e.g., LaserPro, COCC, and Global Wave) preferred.
- Knowledge Base: Strong understanding of commercial insurance requirements, title commitments, and entity organizational documents (LLCs, Corporations).
- Detail Orientation: Exceptional ability to spot errors in complex legal documents and financial figures.
- Communication: Strong professional presence for interacting with external counsel and high-value commercial clients.
OTHER ACCOUNTABILITIES / RESPONSIBILITIES:
- Must be reliable, detail oriented, and able to work independently in a high-paced environment.
- Willing to travel to the Bank’s commercial lending offices.
- Communicate clearly and accurately in verbal and written format.
- Interact in a pleasant, cooperative, and timely manner with internal personnel at all levels in order to maintain positive company image.
- Must possess strong organizational skills including the ability to organize time, resources, and set priorities to accomplish multiple duties and maintain efficient workflow.
- Ability to maintain and report on confidential information in an appropriate manner.
