Role Purpose
The Executive Assistant partners with multiple senior leaders to make their time, focus, and decisions more effective. The impact of this role comes from anticipating needs, removing friction, and ensuring priorities are executed smoothly, often before issues surface. Trusted with sensitive matters and complex logistics, the Executive Assistant brings clarity, follow‑through, and calm to a fast‑paced environment.
This is a full-time, Dallas-based role with an in-office expectation of four days per week requiring a high degree of independence, sound judgment, and consistent ownership of competing priorities.

What You Will Do
- Serve as a trusted partner to senior leadership, managing calendars, scheduling complex meetings, and organizing executive priorities with precision and foresight
- Act as a primary point of contact and communication bridge between executives, internal teams, and external stakeholders, maintaining strong relationships at all levels
- Exercise excellent judgment and discretion, independently handling sensitive and confidential matters and managing issues addressed directly to executives
- Anticipate executive needs through proactive thinking, keeping leaders informed of upcoming commitments, deadlines, and emerging priorities
- Research, prioritize, and follow up on incoming requests and open items, ensuring timely resolution and clear accountability
- Own deliverables end-to-end, drafting executive-level correspondence, memos, agendas, and materials tied to decision-making
- Prepare and update presentations, reports, and briefing materials, including charts, tables, and graphs, using advanced Excel, PowerPoint, and other productivity tools
- Maintain organized files, databases, and advanced spreadsheets to support executive operations and reporting needs
- Coordinate complex domestic and international travel, prepare materials for travel-related meetings, and process travel & expense reports accurately and efficiently
- Process invoices and expenses, assessing purpose, securing approvals, and ensuring timely routing and payment
- Prepare meeting agendas, notices, minutes, and follow-ups, proactively tracking leadership commitments and action items
- Demonstrate adaptability across different executive working styles, emotional intelligence, and professionalism under pressure
- Uphold a best-in-class service mindset, combining reliability, attention to detail, and clear communication with a calm, composed approach
- Continuously seek opportunities to improve processes and increase efficiency
- Bachelor’s degree or equivalent professional experience
- 5 years of Executive Assistant experience, preferably supporting senior leaders in a mid- to large-sized organization
- Advanced proficiency with Microsoft Outlook, Word, Excel, PowerPoint, Teams, and related office technologies
- Exceptional organizational, prioritization, and follow-through skills; executives trust without needing to verify
- Strong written and verbal communication skills, including executive-level correspondence
- Proven ability to work autonomously while remaining a collaborative, highly reliable team partner
- Professional, discreet, and service-oriented with a forward-looking, problem-solving mindset
