Position Overview
The Payroll Manager is responsible for managing all payroll processes for a field-based workforce operating in high-risk environments. This role ensures accurate pay, compliance with federal and state regulations, proper tracking of hours, certifications, and job costing, and timely reporting. The Payroll Manager works closely with HR, Safety, and Operations to maintain clear documentation and support smooth business operations.
Key Responsibilities
Payroll Processing
- Process weekly or biweekly payroll for approximately 75 employees, including hourly field crews, salaried staff, and seasonal workers.
- Verify timecards, job codes, prevailing wage requirements, overtime, and per diem when applicable.
- Ensure correct application of state/federal labor laws and industry-specific pay requirements.
- Manage garnishments, deductions, reimbursements, bonus payouts, and benefit withholdings.
- Review and audit payroll reports before submission to ensure accuracy.
Timekeeping & Attendance Management
- Oversee digital timekeeping systems, train employees and supervisors on proper use.
- Verify clock-in/clock-out times, travel time, standby hours, callout pay, and field adjustments.
- Monitor discrepancies or potential timecard issues and work with supervisors to resolve.
- Maintain accurate records for audits, job costing, and invoicing support.
Compliance & Reporting
- Ensure compliance with wage laws, DOT requirements, union rules (if applicable), and state-specific regulations.
- Prepare payroll-related reports, including tax filings, certified payrolls, and internal summaries.
- Maintain documentation for audits, workers' compensation, and labor investigations.
- Stay updated on changes in payroll legislation that affect company operations.
Cross-Department Collaboration
- Work with HR to coordinate onboarding, terminations, benefits, and employee changes.
- Partner with Operations to confirm job costing information and ensure payroll aligns with project budgets.
- Support Safety Department with wage documentation for injury cases and return-to-work programs.
- Provide leadership with payroll metrics, labor cost analysis, and staffing insights.
System & Process Management
- Maintain payroll software settings, user access, and employee pay profiles.
- Identify and implement process improvements to increase accuracy and efficiency.
- Support annual audits, insurance renewals, and compliance reviews with detailed payroll records.
Qualifications
Required
- 2–4 years payroll experience, preferably in construction, tree removal, logging, or field-service industries.
- Strong understanding of payroll laws and wage/overtime rules.
- High attention to detail and strong analytical skills.
