Job Description
- This role is responsible for coordinating project administration, financial tracking, reporting, schedule support, and cross-functional communication to ensure projects are delivered safely, efficiently, on time, and within budget.
- The Project Coordinator will serve as a key support resource for Program Directors, project managers, field operations, finance, safety, HR, IT, and clients by maintaining accurate project data, driving accountability on action items, and helping improve systems and processes that support operational excellence.
Key Responsibilities
Project Coordination & Administration
- Support project managers and operations leaders in planning, executing, and closing telecom construction and engineering projects.
- Coordinate project schedules, milestones, deliverables, and action items to maintain project momentum.
- Maintain project documentation, logs, trackers, and reporting tools to ensure data accuracy and consistency.
- Prepare meeting agendas, document meeting minutes, and track follow-up actions through completion.
- Assist with project setup, onboarding, and closeout activities, including collection of turnover and completion documentation.
- Monitor project risks, identify issues that may impact schedule or deliverables, and escalate proactively.
Reporting & Financial Support
- Track and maintain project financial data, including budgets, forecasts, purchase orders, invoices, and cost reporting.
- Support payroll and labor tracking processes, including time entry validation and reporting for market teams.
- Assist with job cost reviews and provide project performance updates to leadership.
- Compile and analyze operational metrics and KPIs to support project visibility and decision-making.
- Ensure all project information is current and accurately reflected in project management systems.
Systems, Process Improvement & Compliance
- Support development and improvement of operational processes, workflows, and reporting tools to improve efficiency.
- Utilize project management and ERP platforms such as Quickbooks, Netsuite, Excel, or similar systems.
- Partner with IT, HR, Accounting, Safety, and Operations to implement process improvements and support operational initiatives.
- Maintain document control standards and ensure project files comply with company and client requirements.
- Support audit readiness, safety documentation, and client reporting requirements as needed.
Cross-Functional Collaboration
- Build strong working relationships with internal departments, field teams, subcontractors, and clients.
- Facilitate communication between project stakeholders to ensure timely resolution of issues.
- Support mobilization, staffing coordination, equipment tracking, and procurement support as needed.
- Provide administrative support for regional or program leadership initiatives.
Qualifications
- 5 years of project coordination, project administration, or operations support experience, preferably in telecom, utility, engineering, or construction environments.
- Strong knowledge of project coordination principles, reporting, and administrative support in a fast-paced operational setting.
- Excellent written and verbal communication skills.
- Strong organizational, planning, and time management skills.
- Strong analytical and problem-solving capabilities.
- Proficiency in Microsoft Office Suite, including Excel, Word, PowerPoint, Outlook, and Project.
- Ability to manage multiple priorities and adapt to changing business needs.
- Ability to work effectively with field teams, leadership, and support departments.
Salary : $70,000 - $75,000
