What are the responsibilities and job description for the Medical Coordinator position at Brightwing?
We are seeking a Medical Coordinator to to join a thriving practice. Backgrounds coming from Plastics or Rejective Aesthetics is beneficial however not required.
(Preferred) 2–4 years in a patient-facing coordination role (precision/functional
or concierge medicine, aesthetics, or related settings).
Proficiency in operations: project tracking, checklists, timeline management,
and cross-functional follow-through.
Exceptional written and verbal communication; composed, professional
presence, high empathy.
Meticulous attention to detail, discretion, and strict adherence to HIPAA.
Interest in health, wellness, longevity and hospitality preferred
Education, Experience, and Licensing Requirements
High school diploma or equivalent required; associate’s or bachelor’s degree
preferred
Previous administrative or medical office experience strongly preferred
Experience in aesthetics, wellness, or precision medicine environments a plus
Medical Assistant certification not required but considered beneficial
Key Responsibilities
• Coordinate ll stages of the precision medicine program, including:
Patient Intake & Scheduling: Send welcome materials, assign intake forms and
surveys, schedule visits, and coordinate in-office and at-home labs; provide
instructions and proactive check-ins.
Data & Records Management: Track assessments, lab results, and patient
progress to ensure nothing is missed and providers have the information they
need. Maintain accurate HIPAA-compliant records so the team always has
visibility on where patients are in their care plan
Workflow & Rounds Support: Monitor patient communications and status,
contribute to weekly rounds, organize provider notes, extract action items, and
drive implementation of next steps.
Patient Deliverables: Prepare polished, personalized documents (supplement
protocols, therapeutic/treatment recommendations, protocol descriptions,
estimates).
Patient communication: Field inquiries, manage scheduling changes, and
execute timely follow-ups that reflect a white-glove patient experience.
Logistics & Coordination: Including preparing supplement product shipments,
supporting in the development and implementation of concierge level medical
retreats and experiences.
Salary : $55,000 - $80,000
