Medical Scheduling Manager is responsible for supporting consistent operations in the field and in the office.

Primary duties: continuous cycle schedule management (creating, monitoring, adjusting, managing, troubleshooting), field employee (i.e. caregiver, CNA, RN) management, client relations. This position will also be expected to cover last minute call offs in the field.

Other Duties: answering phones, data entry, maintaining non-clinical notes in the proprietary CRM, new employee training, client and field staff touchpoints, in-take inquiry coordination and other tasks as needed for employee and client well-being.

This stellar employee works cross-functionally with the Billing Manager, Administrator, Human Resources Generalist, Customer Care Manager and Director of Nursing to ensure the highest level of communication, service and timely coordination.

Duties Include:

  • Develop monthly and quarterly caregiver care schedule. Coordinate staff vacations, callouts, leaves of absence and any other time off needs as needed.
  • Management of touchpoints (field staff & client), and client standards to ensure agency meets or exceeds franchise and Joint Commission standards.
  • Update database for hospitalizations and transfers; communicates to care staff of appropriate changes.
  • Participates in new hire training (i.e. dementia, communication and tech training)
  • Is an excellent representative of BrightStar Care in the office and in the field
  • Supports and upholds all company policies, care philosophy and mission statement.
  • Updates. Discusses and consults with nursing staff during changes needing to be reflected in client care plans including changes in physical, emotional, mental, or behavioral condition, unusual symptoms, accidents, injuries, or unusual occurrences, and reports promptly to a licensed nurse.
  • Ensures most current updated care plan is available in the client’s home for client and family to read.
  • Perform similar or related duties as required or directed.
  • Presents timely and update stats during weekly L10 and quarterly PI meetings

EMPLOYMENT REQUIREMENTS:

  • Minimum two-year complex scheduling experience in a medical environment.
  • Ownership of processes and systems related to position
  • Must possess calm, steady and focused demeanor during stressful situations
  • Ability to triage and prioritize competing tasks during usual and unusual operations
  • Thrives during problem solving.
  • Excellent customer service skills
  • Skilled at communicating with all levels (field, client, executives)
  • Must be 18 years of age or older with a high school diploma or GED.
  • Certified CPR, negative TB skin test or chest x-ray, physical and food handler’s card
  • Minimum one (1) year of documented caregiver, home care assistance experience is required; working with seniors in a long-term care or residential care setting preferred.
  • Excellent professional references with the ability to pass background checks, DMV, and drug screen.
  • Proficiency in Microsoft Office Suite (Outlook, Word, & Excel), scheduling software, and internet is required.
  • Excellent organization, planning, and project management skills required which include utilizing time appropriately toward accomplishing assigned tasks. The ability to work cross-functionally with internal and external stakeholders cooperatively and respectively with management and other employees is required.
  • Ability/willingness to cover caregiver shifts as assigned or as needed.
  • Licensed driver with insured and reliable automobile with proof of insurance.
  • Ability to communicate effectively, maturely, and professionally through written and oral with residents, families, employees, vendors, and the public. Adequate and clear English speaking and writing ability.
  • Maintain a professional appearance with an organized workspace.
  • Ability/willingness to work longer than average eight (8) hour shift; work holidays or overtime; to work seven (7) day schedule.
  • Must be able to perform the essential duties and responsibilities with or without reasonable accommodation without causing a significant safety threat to self or others.

Physical Requirements include the ability to exert 50 lbs. of force occasionally by lifting, carrying, pushing, pulling, or otherwise moving objects. Ability to bend, twist, squat and/or reach frequently and consistently while performing tasks. Ability to spend long periods on feet and to ambulate quickly. Ability to work safely and to recognize potentially dangerous situations.

Pay: $21.00 - $25.00 per hour
