Job OverviewAs a Treatment Coordinator, you play a critical role in both practice performance and patient experience. This position is primarily based in Brighton (Monday–Wednesday), with support in Broomfield (Friday) as part of a 4-day workweek.You will lead all new patient consultations, guide patients through their treatment plans and financial options, and provide consistent follow-up to help patients move forward with care. This role is both patient-focused and performance-driven, requiring strong communication, organization, and the ability to confidently guide patients toward decisions that improve their health and quality of life.We are a team-driven, patient-first organization where collaboration across providers, team members, and locations is essential to delivering exceptional care.
Primary Location: Brighton (Mon–Wed) | Broomfield (Fri)
Key Responsibilities
1. Patient Consultations & Coordination
- Lead all new patient consultations and manage the full patient sales pipeline
- Act as the primary point of contact for patients throughout their treatment journey
- Coordinate schedules across Brighton (primary) and Broomfield (1 day/week)
- Ensure patients clearly understand treatment plans, timelines, and next steps
2. Treatment Planning & Patient Education
- Collaborate with doctors and specialists to present comprehensive treatment plans
- Clearly explain benefits, risks, and alternatives in a way patients understand
- Help patients feel confident and informed in their decision-making
3. Financial Coordination & Case Acceptance
- Present treatment costs, review insurance, and explain all payment options
- Create personalized financial plans for each patient
- Confidently address patient questions or concerns and help guide them toward starting care
- Secure financial agreements and collect payments
- Achieve individual and practice performance goals related to case acceptance and collections
- Provide sales tracking, reporting, and forecasting to leadership
4. Communication & Follow-Up
- Execute consistent, strategic follow-up with patients who have not yet started treatment
- Maintain ongoing communication to support patients through completion of care
- Coordinate treatment and communication with referring providers and specialists
5. Administrative & Operational Support
- Maintain accurate patient records, treatment plans, and financial agreements
- Support scheduling flow and operational efficiency across both locations
- Assist with billing, insurance coordination, and required documentation
- Update CRM systems daily and maintain accurate pipeline tracking
6. Patient Experience
- Deliver a high level of service that builds trust and long-term patient relationships
- Address patient concerns with professionalism, clarity, and empathy
- Proactively anticipate patient and team needs to improve overall experience

Schedule & Structure
- Brighton: Monday–Wednesday 7:45am – 5pm (Primary Location)
- Broomfield: Friday 6:45am – 2pm
- 4-Day Workweek
Requirements
- Prior experience in a dental office with a focus on treatment coordination, case presentation, or patient sales
- Sales experience strongly preferred
- Strong communication skills (verbal and written) with ability to build trust quickly
- Highly organized with strong attention to detail and follow-through
- Ability to multitask and perform in a fast-paced environment
- Comfortable discussing financials and guiding patients through payment decisions
- Proactive, self-driven, and goal-oriented
- Experience with dental software (Dentrix Ascend preferred) and general computer proficiency
