Duties
- Greet visitors and clients warmly, providing excellent customer service at all times
- Bilingual in ENGLISH and PORTUGUESE is NECESSARY.
- Excellent customer service and friendly demeanor.
- Processing of orders for eyeglasses and contact lenses.
- Acquiring insurance eligibility
- Sales and/or selling experience a plus
- education: high school diploma or equivalent; Bachelors preferred.
- Manage multi-line phone systems, directing calls efficiently and professionally
- Handle appointment scheduling, calendar management, and coordinate meetings using digital tools
- Maintain accurate data entry and filing systems to ensure organized records
- Assist with office management tasks such as supply inventory, mail handling, and document proofreading
- Support administrative functions including bookkeeping, invoicing, and basic QuickBooks entries
- Provide bilingual (ENGLISH / PORTUGUESE) support when needed to serve a diverse client base
Requirements
- Proven experience in office management, clerical work, or customer service roles
- Strong computer literacy
- Excellent phone etiquette and communication skills for handling inquiries via phone and email
- Ability to multitask efficiently in a fast-paced environment with strong organizational skills
- Experience with Data Entry tasks
- Bilingual (PORTUGUESE) abilities are highly desirable to assist a diverse clientele
- Previous experience as a dental or medical receptionist or personal assistant is a plus but not required.
- Attention to detail for proofreading documents and maintaining accurate records
- Time management skills to prioritize tasks effectively throughout the workday
