FLSA Status: Full-time, Non-exempt, 12 month

Role Summary:
What you’ll do
Basic Components of the Job Description for the Office Assistant position include (but are not limited to):
School Access:
• Greeting and signing in all visitors to the school and controlling access to students
and classrooms
• Ensuring that students leave only with authorized parents or guardians
Communication Support:
• Answering and forwarding all phone calls, placing outgoing calls, and taking messages
• Making public address announcements
• Posting updates to Parent Square, our family information portal
• Communicating with families around attendance, student needs, behavior, or injuries
• Translate as needed in verbal and written form
• Performs mass school copies
• Supporting the Inclusive Education department with scheduling of IEP meetings and
service provider meetings
Record-Keeping:
• Collecting and maintaining forms and other records, securing missing forms, and
ensuring the confidentiality of all student records
• Supporting the Inclusive Education department with cumulative records
Tardies and Attendance Support:
• Ensuring student attendance is taken daily; generating weekly/monthly attendance
reports
• Issuing tardy passes and entering student tardies into the student information system
• Communicating with families around attendance and tardies
Enrollment Support:
• Entering student enrollment data into student information system and updating all
student records, including student registration and attendance
• Processing applications for admission
• Scheduling school tours for Principal
Substitute Teacher Support:
• Ensures substitute teachers have necessary materials to cover classes
Student-Facing Support:
• Supervise students as needed, including lunch, hallway, restroom, arrival/dismissal,
and recess duty
• Supporting the school’s behavior management system
• Performs basic first aid to students
• Support with students. ’ needs in the classroom and play area.
• Oversees lost and found area
• Manages check-in/check-out process for loaner uniforms
School Events:
• Planning and preparing for school events and activities
• Coordinates lunch/dinner orders for staff meetings/evening commitments
• Supports Senior Dean of Operations with school events
• Set-up/clean-up for small meetings, events, and sign-in areas
• Performing all duties designated by the Senior Dean of Operations or Office Manager
for the school’s successful functioning, including hallway supervision,
arrival/dismissal, and meals
School Mail:
• Receiving and distributing incoming mail and deliveries
• Preparing outgoing mail and deliveries
Physical Environment:
• Ensuring that the school’s physical environment is at all times neat and ordering,
including the Main Office, copier/supply area, lost and found, and first aid equipment
• Support the Dean of Operations in management, distribution, and organization of
materials and supplies to teachers
Fiscal Duties:
• Selling schoolwide materials (e.g., uniforms & school supplies)
• Managing the cashbox
Professional Development:
• Attends all professional development sessions, as appropriate.
Any other duties as assigned.

• High School Diploma or GED.
• Minimum 2 years customer service experience.
• Love of children and the belief that all children can succeed with appropriate support
• Excellent phone etiquette and verbal communication skills
• Bilingual (Korean/English or Spanish/English)
• Good attendance and punctuality
• Able to work in a fast-paced environment and meet deadlines with minimal supervision
• Should be customer-service driven
• Positive mindset
• Knowledge of Google Suite (G-Mail, Google Calendar, Google Sheets)
• Able to multitask
• Professional appearance (business casual)
Desired (but not required) in order of importance:
1. Trilingual (English/Spanish/Korean) preferred
2. Experience in Charter School setting preferred

Working Conditions/Work Environment
While performing the duties of this job, the employee is generally expected to work indoors in typical
school and office environments. This position involves:
• Occasional exposure to extreme or varying temperatures.
• Occasional exposure to outdoor elements such as sun, precipitation and wind or wet/humid
surroundings.
• Occasional/ exposure to loud noise, fumes, smoke, dust.
Physical Requirements
The physical demands described here are representative of those that must be met by an employee to

• Must be able to occasionally/frequently lift, carry push, and/or pull objects of not more than 20

• Manual dexterity, and finger/wrist and hand repetitions are needed; frequent repetitive motion;

• Frequent computer use, including use of keyboard and mouse.
• Speaking and hearing are essential to the communication needs of the position; constant
hearing and speaking in person and on the phone, via remote video teleconferencing platforms.
• Must be able to be physically present at the worksite and occasionally travel for meetings or
conferences.
