Administrative Assistant (part-time)
Work Location: On-site (BYU Campus). Remote work is not available.
Brigham Young University’s Research Administration Office supports and facilitates research across the university. This role focuses on helping faculty access and manage externally funded research awards. As part of the Sponsored Projects team, the Administrative Assistant plays a key role in supporting the award process and ensuring research funds are set up and available for faculty use.

Typical Starting Pay: $18.75-$23.75
The actual compensation offered will take into consideration internal equity and may vary based on the candidate’s job-related experience, knowledge, skills, and other relevant factors. Candidates with very significant work-related experience may receive an offer higher than the posted typical range.

What You Will Be Doing In This Position
Process research awards, amendments, and no-cost extensions:
- Accurately enter grant/contract data into Kuali Research to facilitate project management and accurate reports
- Ensure required training is completed by faculty
- Ensure necessary approvals are in place from applicable compliance committee(s) – IRB, IACUC, IBC
- Correspond with faculty and various campus entities
- Review subaward agreements
- Detailed data entry
- Review contract and grant agreements/awards for unique closeout requirements
- Ensure final reports/deliverables have been submitted by faculty
- Ensure vesting of purchased equipment is handled properly
- Update award status in Kuali Research
- Reconcile Kuali Research monthly reports with financial records
- Review and reconcile aged proposals on a quarterly basis
- Maintain and update the Sponsored Projects Office website using BYU’s Brightspot software
- Design handouts, slides, and other documents as requested
- Assist with general office responsibilities as assigned (tracking website statistics, collecting data for graphs, marking proposals as declined, reviewing Current and Pending Support documents, reconciling physical files, etc
Minimum Education and Experience Required:
- Bachelor’s degree, or equivalent combination of education and experience.
- Minimum 2 years of college education and 2 years of office experience required in lieu of degree.
- Bachelor's degree and 3 years of office work experience
