ROLE OVERVIEW
The Accounting & HR Systems Specialist supports the Controller and broader administrative team by performing a variety of accounting, HR, and systems support functions. This position plays an essential role in maintaining accurate financial records, processing transactions, assisting with employee onboarding and recordkeeping, and improving the efficiency of internal processes and business systems. The ideal candidate is detail-oriented, tech-savvy, and comfortable working collaboratively across departments in a fast-paced environment.
RESPONSIBILITIES
Accounting and Financial Support
- Process Accounts Payable from invoice to payment using 3-way match, securing approvals and keeping accurate records.
- Process Accounts Receivable, including invoicing, posting payments, processing approved claims, preparation of statements and customer account setup.
- Generate and review monthly aging reports, ensuring accuracy of balances and timely follow-up on past-due accounts in coordination with the Sales team.
- Adapt communication styles to suit a variety of customers while maintaining professional, consistent interactions.
- Support period end close by researching and compiling data and preparing reports.
- Assist with regulatory compliance reporting, including IFTA, Sales tax, and other periodic filings or audits as required.
- Maintain confidentiality of all company and financial information.
Administrative and HR Support
- Support HR-related administrative functions such as onboarding, recordkeeping, compliance tracking, and reporting.
- Support accurate and timely employee data entry and document filing.
- Assist with the improvement of administrative and information systems related to HR and timekeeping functions to ensure timely employee data entry and accurate reporting.
- Support Administration staff with special projects, audits, and process reviews as assigned.
- Ensure all employee and company information is handled with discretion and in compliance with applicable laws and policies.
Systems and Process Improvement
- Collaborate with management to maintain an organized, secure file management system that ensures data protection, access integrity, and consistent naming and storage practices.
- Ensure ongoing systems maintenance, oversight, and basic IT coordination between technology service vendors and management.
- Collaborate with internal teams to identify, recommend, and help implement improvements to workflows and system configurations that enhance accuracy and efficiency.
- Develop, document, and maintain standard operating procedures (SOPs) for information systems and related processes.
QUALIFICATION REQUIREMENTS

- Associate's degree or higher in Accounting, Finance, or a related field preferred; equivalent experience considered.
- 3 years of experience in accounting, bookkeeping, or administrative support.
- Familiarity with cloud-based business systems and data-driven process management.
- Proficiency in Microsoft Excel, Word, and Outlook; experience with ERP or CRM systems strongly preferred.
- Strong analytical, problem-solving, organizational, and communication skills.
- Proven ability to manage multiple priorities with attention to accuracy and deadlines.
- Discretion and professionalism in handling confidential information.
REQUIRED EDUCATION AND/OR EXPERIENCE
- High School Diploma
- Associates degree in Accounting, Finance, Business Administration, Information Systems, Human Resources, or a closely related field.
- A two to four-year Accounting degree preferred
- Or, an equivalent combination of education and experience (e.g. an Associate's plus additional years of relevant work)
- At least 3–5 years of progressively responsible experience in accounting, bookkeeping, or systems/ERP support—ideally with exposure to both accounts payable and receivable cycles.
LANGUAGE SKILLS
- Ability to read and interpret documents such as the department handbook, work assignments and safety rules.
WORK ENVIRONMENT

- The noise level is usually quiet but can involve background chatter and distractions.
- The employee will be working with computers, phones, printers and paper.
- Some heavy lift and carrying will be required during year-end filing and storage processes.
