Install Dispatch Coordinator (HVAC)

JOB SUMMARY

Coordinate all preparation aspects of the installation process to ensure jobs are properly scheduled, completed efficiently, and remain on schedule. This role serves as a key point of contact for customers, installation teams, vendors, and internal departments. Coordinates permitting, equipment receiving, and other administrative duties supporting the install and service departments.

ESSENTIAL DUTIES

· Coordinate with install teams at the start of each day and throughout the day to address scheduling, job status, and operational needs.

· Manage the Install Department scheduling and resolve scheduling conflicts as needed.

· Serve as the second point of contact for the service phone line to ensure customers are assisted as quickly as possible. Scheduleing customers for HVAC service calls or routing calls appropriately.

· Coordinate and maintain Install Packets, including confirming equipment has been received and is available for scheduled installations.

· Manages the permitting process for installation and service jobs, including submission, tracking permit status, and following up as needed.

· Processes day sheets for service and install team memebers. Ensures information is accurately recorded, attachments are included, and submitted to billing.

· Utilizes a CRM (Blue Cow Ignite) for customer information, work orders, and scheduling.

· Assist with cleaning schedules, reminders, and coordination to ensure required cleaning tasks are completed.

· Provide backup support to Service Dispatch as needed.

· Perform other administrative and departmental duties as assigned.

QUALIFICATIONS

• Strong customer service and communication skills, experience preferred
• Ability to remain calm and organized in high-stress or emergency situations
• Comfortable using computers, software, and technology
• HVAC industry experience is a plus
• Dispatch experience is preferred.
• Blue Cow Ignite or simliar software experience is highly preferred

Pay: $25.00 - $30.00 per hour
