We are seeking a Probate Paralegal to join our Probate & Estate Planning team.
GENERAL DESCRIPTION:
We are seeking a highly skilled and detail-oriented Probate Paralegal. This role is responsible for supporting attorneys in the administration of estates through the probate process, maintaining organized client files, and ensuring compliance with legal procedures related to probate court filings and estate settlement. The Probate Paralegal will be supported by a Legal Assistant and is eligible for overtime.
ESSENTIAL DUTIES AND RESPONSIBILITIES: “Essential functions” are primary job duties that incumbents must be able to perform unassisted or with some reasonable accommodation made by the employer.
- Drafts and organizes probate-related documents including petitions for probate, letters testamentary, inventories, accountings, and notices to beneficiaries and creditors.
- Coordinates execution and filing of probate documents, including arranging for notarization and court submission.
- Prepares and records deeds and other real property transfer documents related to estate administration.
- Conducts client intake interviews and summarizes decedent information, asset details, and family relationships for attorney review.
- Assists clients via email and phone to gather necessary documentation for probate filings, including death certificates, asset lists, and creditor information.
- Manages probate timelines and checklists, including deadlines for filings, notices, and court appearances.
- Tracks statutory deadlines for creditor claims, inventory submissions, and final accountings.
- Coordinates with financial institutions to obtain date-of-death valuations and prepare asset transfer documents for estate distribution.
- Reviews and organizes asset information, including title documents, beneficiary designations, and ownership records.
- Maintains organized client files and document management systems throughout the probate process.
- Produces error-free and court-ready probate documents with a high level of accuracy.
- Prioritizes workload to meet court deadlines and manages multiple tasks with shifting priorities.
- Maintains composure and professionalism while juggling assignments and communicating with attorneys, clients, and court personnel.
- Assists with preparation of guardianship and conservatorship petitions when applicable.
- Ensures compliance with probate court procedures, local rules, and filing requirements.

EDUCATION / EXPERIENCE:
- Bachelor’s degree preferred, or equivalent work experience.
- 3 years of experience as a Probate Paralegal.
- Experience preparing federal estate tax returns.
- Highly efficient in Microsoft Office Products (Word, Excel, Outlook, etc.).
- Paralegal certification is a PLUS.

OTHER REQUIREMENTS:
- Ability to work flexible hours to meet business demands, including overtime as needed to complete projects.
