What are the responsibilities and job description for the Part Time Administrative Assistant - Harpeth Heights position at Brentwood Baptist Church?
SUMMARY
The Harpeth Heights Part Time Administrative Assistant is responsible to the church, under the direction of the Campus & Teaching Pastor for providing professional and administrative support to the Connection ministry and the Next Gen ministry which includes, preschool, children, and students.
PRIMARY JOB RESPONSIBILITIES may include but are not limited to the following:
Administrative Support
- Assist with answering the door, helping guests, and responding to phone calls.
- Coordinate all Connection ministry activities including but not limited to First Time Guest milestones, Baptism milestones, and membership milestones.
- Manage Sunday Connection Cards and Kids Ministry Guest Cards: collect, scan, enter information into MP, and maintain a first-time guest list to support the Cookie Delivery ministry.
- Assist with Discover Team membership classes and follow up.
- Assist Next Gen Ministry to make sure that all new/incoming volunteers have completed the vetting processes, have passed their background checks, and have completed Ministry Safe training and other administrative tasks as needed.
- Maintain ministry platform data for Kids, Students, and Connections.
- Assist with purchasing supplies for Kids, Students, and Connections.
- Provide administrative support for any special events in the Kids, Students, or Connections ministries.
- Assist in communication and social media for Kids, Students, and Connections.
- Assist Kids Director and Student/Connection Minister with volunteer training.
- Order and maintain inventory of office and administrative supplies, including oversight of office equipment (e.g., copier).
- Update the Minister-On- Call extension line weekly.
- Work with Harpeth Heights Administrative Assistant (FT) to assist as needed to maintain accurate church records, comms requests, special events, etc.
- Collect, organize, and enter receipts from credit card for the Connection/Student Minister and Kids Director.
- Maintain an office atmosphere that is representative of 1 Cor. 14:40 (“everything must be done decently and in order”) along with having a basic understanding of people and how to tactfully handle sensitive and difficult situations.
- Other duties as assigned by the Campus & Teaching Pastor.
Other Responsibilities
- Attend quarterly staff meetings.
- Attend on-going Ministry Platform and other administrative trainings.
