The Service Dispatch is a key member of the automotive dealership’s service department, responsible for coordinating and dispatching service work to technicians while scheduling customer appointments efficiently. This role ensures smooth operations, excellent customer service, and optimal workflow in the service department.
THE IDEAL CANDIDATE FOR THIS ROLE WILL BE EXTREMELY DETAIL-ORIENTED, ORGANIZED AND CAN MAINTAIN COMPOSURE IN A MENTALLY & PHYSICALLY DEMANDING ENVIRONMENT.
Key Responsibilities:
Service Dispatching:
- Assign repair orders and maintenance tasks to service technicians based on skill level, availability, and workload.
- Monitor technician progress and ensure timely completion of service tasks.
- Communicate with service advisors and technicians to prioritize urgent repairs and maintain workflow efficiency.
Administrative Duties:
- Update service management software with real-time data on job progress and completion.
- Assist with inventory tracking for parts needed for scheduled repairs.
Team Collaboration:
- Work closely with the service manager, service lane manager, service advisors, technicians, and parts department to ensure seamless service operations.
- Provide feedback to management on technician performance and service bottlenecks.
Qualifications:
- High school diploma or equivalent; additional education or certifications in automotive service or administration is an asset.
- 2 years of experience in automotive service, dispatching, or customer service roles preferred. MUST have experience working in a fast-paced environment.
- Strong organizational and multitasking skills with attention to detail.
- Excellent communication and interpersonal skills for interacting with customers and team members.
- Proficiency in service management software (e.g., Reynolds & Reynolds, CDK, Automate, or similar), Microsoft Excel and Google Suite.
- Knowledge of automotive repair processes and terminology is highly desirable.
- Ability to work in a fast-paced environment and handle high-pressure situations.
Work Environment:
- Primarily office-based within the dealership's service department.
- Requires frequent interaction in the service bay and customer-facing areas.
