CLASSIFICATION VACANCY: EMIS Coordinator

LENGTH OF WORK YEAR: 260 days

SCHEDULE: Monday-Friday/8 hours per day

 

JOB OBJECTIVE: Coordinates the effective collection, analysis, maintenance, and reporting of district data.

 

Minimum Qualifications:

  • High school diploma or GED. Administrative-level secretarial work experience.
  • Ohio Association of EMIS Professionals (OAEP) certification, CEP, MCEP, or DM, is advantageous.
  • Data management skills (e.g., software navigation, file organization, tracking/analysis, communication, etc.). Versatile writing and editing skills.
  • Embraces high-performance standards (e.g., engagement, proficiency, resilience, etc.).
  • Maintains a record free of criminal violations that prohibit public school employment.

      Preferred Attributes: Active listening, creative problem-solving, and strong time-management skills.

 

      Physical Demand Level1: Sedentary strength (seldom lifting/carrying more than 11 lbs.). Duties require communicating verbally, far/near visual acuity, fine/gross manipulation, reaching at or below shoulder height, standing, and using a traditional keyboard.

                           1 Based on U.S. Department of Labor documentation of physical demand characteristics.

 

       Note: Legally acceptable alternative qualifications, additional assignment-specific skills, and other physical demands deemed appropriate by the board may be delineated at the time of appointment.

 

Essential Functions:

  1. Ensures all data required by district policies and regulatory authorities are tracked, compiled and recorded. Trains data collection and processing staff.
  • Identifies work priorities to focus on tasks that require immediate attention.
  • Serves as an adviser to the superintendent and administrative team.
  • Assumes responsibility for monitoring and verification of the Ohio District Data Exchange (ODDEX): Student Cross Reference, Community School Funding, Tuition Funding, and College Credit Plus.
  • Actively supervises and evaluates assigned personnel. Cultivates staff leadership skills.
  • Manages EMIS data extraction, aggregation, validation, and submission process.
  • Monitors ongoing compliance with state documentation guidelines (e.g., pupil demographics, academic courses, student testing information, attendance, etc.).
  • Serves as a district intermediary for the state data acquisition site.
  • Coordinates the transfer of data. Corrects errors and helps resolve problems encountered by staff.
  • Checks completed work to ensure compliance with state and district specifications.
  • Provides technical support for student scheduling activities.
  • Assists with the office inventory control system to ensure dependable supply levels.
  • Prepares purchase requisitions. Maintains procurement records. Receives deliveries. Reconciles invoices. Monitors vendor performance (e.g., customer service, product quality, reliability, etc.).
  • Maintains effective document and records management systems. Prepares timely files. Monitors reporting deadlines. Complies with district records retention and disposal policies.
  • Oversees the District's online student enrollment process to ensure accuracy
  • Ensures accuracy of enrollment information along with proof of residency, custody papers, etc.
  • Compiles, analyzes, and disseminates student enrollment numbers as needed.

Required Qualifications:

  • High School Diploma;
  • Submit and pass a BCI and FBI Criminal Record Check per ORC 3319.391;

Preferred Qualifications:

  • Previous experience in PowerSchool 
  • Previous experience in EMIS

Other Duties and Responsibilities

  • Attend meetings and in-services as required                   
  • Respond to routine questions and requests in an appropriate manner           
  • May require hours outside of the regular workday                 
  • The Superintendent/Designee may assign other duties directly related to the position's essential functions.
