What are the responsibilities and job description for the Community Manager – Mobile Home Community position at Breaking Ground Property Management?
Job Overview
We are seeking a dependable, organized, and technology-oriented Community Manager to oversee the daily operations of a tenant-owned mobile home community. This position is responsible for resident relations, rent collection, lease administration, community rule enforcement, maintenance coordination, vendor management, and accurate digital recordkeeping.
Strong computer skills and the ability to learn and consistently use property management software are essential for this position. The Community Manager must be comfortable working with systems such as AppFolio and Microsoft Teams to manage resident records, track tasks, communicate with company personnel, document property conditions, and maintain organized operational records.
The community consists primarily of resident-owned mobile homes. The Community Manager must understand the distinction between resident-owned homes and park-owned property and coordinate maintenance responsibilities appropriately.
The ideal candidate is detail-oriented, proactive, comfortable working independently, and capable of managing daily operations through structured digital workflows rather than relying on informal communications or paper records.
Responsibilities
- Manage leasing, sales, renewals, and lease or rental agreement records; respond to inquiries and support occupancy through effective client communication and appropriate upselling.
- Build positive resident relationships, handle concerns with strong conflict management and negotiation skills, and apply Fair Housing regulations and relevant landlord-tenant law consistently.
- Coordinate property maintenance and facilities management, track budgets, and use property management tools to maintain accurate records and support daily operations.
- Lead and support the on-site team, manage office workflows, and maintain professional phone etiquette.
- Review information for accuracy before submitting transactions, sending notices, or updating records.
- Protect confidential resident, financial, and company information by following access controls and data-handling policies.
- Your impact: Timely service and well-coordinated maintenance help residents feel heard and keep the community safe, functional, and welcoming.
Requirements
1. Property Management Software & Digital Administration
- Use AppFolio or other designated property management software to maintain resident records, manage lease information, monitor rent balances, document communications, and track property-related activities.
- Navigate resident ledgers, rent rolls, lease records, work orders, and other available property management reports.
- Accurately enter and update resident information, lease documents, charges, notes, and other authorized records.
- Monitor outstanding balances, lease expirations, pending renewals, unresolved work orders, and other operational deadlines.
- Maintain complete and organized digital documentation for resident issues, violations, inspections, vendor activity, and maintenance requests.
- Upload and organize documents in the appropriate digital locations using company naming conventions and filing procedures.
- Review information for accuracy before submitting transactions, sending notices, or updating records.
- Learn new software, follow established workflows, and adapt to changes in company systems and procedures.
- Protect confidential resident, financial, and company information by following access controls and data-handling policies.
2. Microsoft Teams & Internal Communication
- Use Microsoft Teams as a primary platform for internal communication, coordination, and company updates.
- Monitor relevant messages, assigned tasks, announcements, and requests from management.
- Communicate promptly with ownership, regional management, administrative staff, and maintenance personnel.
- Use designated Teams channels and other approved tools to keep operational discussions organized and accessible to the appropriate personnel.
- Share updates regarding resident concerns, property conditions, vendor scheduling, and outstanding maintenance items.
- Follow company procedures for submitting reports, acknowledging assignments, and meeting deadlines.
- Maintain professional written communication and provide clear, factual updates.
- Avoid relying exclusively on verbal conversations or informal messages when a matter requires formal documentation in AppFolio or another designated recordkeeping system.
3. Task Management & Follow-Through
- Track assigned responsibilities, recurring inspections, lease deadlines, resident follow-ups, and outstanding operational issues.
- Use company-designated software to document progress and maintain accountability for open tasks.
- Review pending items regularly and follow up until they are completed or appropriately escalated.
- Prioritize emergencies, safety hazards, time-sensitive notices, delinquent accounts, and other critical matters.
- Notify management promptly when deadlines cannot be met or additional authorization is needed.
- Maintain organized records of completed tasks, outstanding items, and next steps.
4. Leasing & Resident Records
- Manage leasing inquiries, applications, screening coordination, move-ins, renewals, and required documentation.
- Maintain accurate digital resident files, lease agreements, amendments, notices, and other required records.
- Track lease expiration dates and outstanding documents.
- Ensure required documents are properly completed, signed, uploaded, and retained.
- Use AppFolio or the designated system to record resident communications and maintain a clear history of relevant interactions.

- Document resident communications, payment commitments, disputes, and follow-up attempts.
- Coordinate required notices with management and follow applicable legal requirements.
- Escalate unresolved balances, disputed charges, and repeated nonpayment.
- Ensure payment records and account notes are accurate and current.
- Obtain authorization before making adjustments, credits, payment arrangements, or other financial changes.
6. Resident Relations & Community Rule Enforcement
- Serve as the primary contact for routine resident questions, complaints, and community concerns.
- Communicate community rules, lease requirements, and policies professionally and consistently.
- Document complaints, rule violations, and follow-up actions in the appropriate company system.
- Conduct routine community inspections and record findings with dates, locations, photographs, and factual descriptions as appropriate.
- Track unresolved violations and coordinate follow-up with management.
- Escalate serious disputes, harassment allegations, safety concerns, and potential legal matters promptly.
- Maintain confidentiality and appropriate professional boundaries.
- Follow company procedures for notices, resident communications, and enforcement actions.
7. Maintenance Coordination & Work Orders
- Receive, review, document, and route maintenance requests through the designated work-order system.

- Communicate with the Maintenance Technician regarding priorities, recurring issues, materials, and unresolved work.

- Coordinate qualified vendors following company approval procedures.
- Escalate urgent hazards, utility issues, property damage, and emergencies promptly.
- Verify that completed work is documented and outstanding items are followed through.
Because the community consists primarily of resident-owned homes, the Community Manager must not automatically assume that repairs inside a home or to resident-owned improvements are the community's responsibility. Responsibility must be evaluated under the applicable agreement, ownership, and law.
8. Vendor Management & Invoice Processing
- Coordinate approved vendors and contractors using company procedures.
- Confirm required vendor documentation and approvals before work begins.
- Maintain digital records of estimates, approvals, work orders, service reports, and invoices.
- Track vendor scheduling, outstanding work, and follow-up requirements.
- Review invoices against approved work and submit them through the designated process.
- Communicate vendor updates to management and relevant team members.
- Obtain authorization before approving additional work or expenses.
- Keep vendor records organized and accessible to authorized company personnel.
9. Financial Controls & Reporting
- Follow established procedures for rent records, resident charges, vendor invoices, and expense documentation.
- Maintain accurate records in AppFolio and other designated financial systems.
