Position Overview:
As a Billing Specialist, you will play a vital role in maintaining accurate and efficient billing processes. Your responsibilities will encompass sending invoices, managing incoming payments, addressing client inquiries, and generating insightful billing reports. As a Billing Specialist you report directly to the Director of Operations.
Key Responsibilities:
- Invoice Generation: Prepare and send accurate invoices to clients based on services provided and contractual agreements.
- Payment Processing: Receive, sort, and track incoming payments, ensuring timely and accurate application to client accounts.
- Client Interaction: Address and resolve client questions, concerns, and issues related to invoices and payment discrepancies in a professional and customer-centric manner.
- Payment Reconciliation: Regularly reconcile payment data with invoices and accounts to ensure accurate recordkeeping and financial clarity.
- Dispute Resolution: Collaborate with clients and internal teams to investigate and resolve any billing discrepancies or disputes in a prompt and satisfactory manner.
- Reporting: Provide regular and comprehensive billing reports that outline key metrics, payment trends, outstanding balances, and any relevant insights for decision-making.
- Data Integrity: Maintain accurate and organized billing records, ensuring all documentation is complete and readily accessible for audits and analysis.
- Collaborative Communication: Work closely with cross-functional teams, including sales, finance, and customer support, to ensure a seamless billing process and to address client needs effectively.
- Process Enhancement: Contribute to the continuous improvement of billing processes by identifying areas for optimization, streamlining procedures, and enhancing customer satisfaction.
Qualifications and Requirements:
- High school diploma or equivalent
- Previous experience in billing, invoicing, accounts receivable, or related financial roles is required.
- Strong mathematical aptitude and attention to detail.
- Excellent communication skills, both written and verbal.
- Proficiency in using billing software and Microsoft Office applications, especially Excel.
- Problem-solving skills with a proactive attitude towards resolving challenges.
- Ability to work independently and collaboratively in a team environment.
- Strong organizational skills and ability to manage multiple tasks simultaneously.
