Responsibilities

• Greet customers promptly and professionally at the front desk or via phone, providing exceptional service with a positive attitude
• Handle incoming calls using multi-line phone systems, directing inquiries to the appropriate departments or personnel
• Manage client communications through various channels, ensuring timely and accurate responses
• Maintain organized records by filing documents, updating spreadsheets, and entering data accurately using productivity software such as Microsoft Office and QuickBooks
• Assist with office management tasks including calendar management, appointment scheduling, and basic bookkeeping duties
• Support administrative functions like proofreading correspondence, managing office supplies, and maintaining filing systems
• Provide front desk support by answering questions, managing visitor check-ins, and ensuring smooth daily operations

Skills

• Proficiency in computer literacy with strong skills in Microsoft Office applications (Word, Excel, Outlook) and spreadsheets management
• Experience with QuickBooks or similar bookkeeping software is highly desirable
• Excellent phone etiquette and communication skills for effective client interaction across multiple channels
• Ability to multitask efficiently using multi-line phone systems and manage time effectively in a fast-paced environment
• Bilingual abilities are a plus to serve diverse customer needs more effectively
• Strong organizational skills with attention to detail for data entry, proofreading, and filing tasks
• Previous office or administrative experience, including clerical duties such as calendar management and document processing
• Technical proficiency in handling office equipment like fax machines, scanners, and printers
• Customer service background with experience in front desk or reception roles is preferred
• Knowledge of medical receptionist or personal assistant responsibilities is advantageous
