Summary
As our Assistant Manager, your primary responsibility lies in the collection of rent which includes but is not limited to posting, reconciliating, updating notes, filing evictions, contacting delinquent residents by knocking on their doors and calling them as an effort to collect rent, daily, weekly, and monthly reporting. In this position, you will assist the Property Manager in the day-to-day operation of your community. Assist the Property Manager in the smooth running of our community in a fast-paced environment.
Responsibilities of our Assistant Manager
· Collect all delinquent rent. Achieve 3% or less in delinquent rent by end of month. 2% or less will start earning delinquency bonuses as per our Commission and Bonus structure.
· Deposits are to be made daily. No exceptions.
· No cash accepted. Ever.
· Maintain all accounts receivable including the collection of rent, posting rent via scanners, making deposits when applicable, and maintaining a balanced, accurate rent roll. Rent collection efforts include, but is not limited to, daily knocking on doors, calling residents, updating notes in our PMS system on status of delinquent residents, delivering Notice to Vacates for Non-Payment of Rent and rent reminders, processing all necessary paperwork in the filing of evictions and writs, and attending court hearings.
o Rent is due on the 1st of each month. Any resident who does not pay as per the lease agreement is to be issued a 3, 10, or 30 day notice to vacate for Non-Payment of Rent and posted to the inside of the residents apartment door and/or sent certified mail, return receipt requested if applicable by state.
o Late fees will accrue as per the in place lease agreement and on the date noted in the lease at all amounts set forth.
o Identify the number of evictions to be filed and request PEX funds for eviction filing or start the process within Nationwide and/or Loebsack.
o Before filing eviction and/or writ you are required to walk the apartment(s) to ensure the resident still occupies the apartment.
o Evictions are to be immediately filed upon the expiration of the Notice to Vacate issued.
o Update notes in Yardi by placing the resident under eviction and enter the notice for 60 days from the date of filing.
o Monitor and record in Yardi, court dates, appeals, writs, etc.
o Notify CoSign; where applicable of the residents default in making the rent payment and update accordingly through receipt of full payment and/or taking possession of the unit.
o Updating delinquency notes is a daily requirement within Yardi/EliseAI.
· Required to work the 1st Saturday of each month and any additional Saturday’s based on property needs and at the direction of the Property Manager and/or Regional Manager.
· Close out accounting and complete month end.
· Compose, prepare and deliver routine correspondence, rent reminder notices, and other letters or notifications as needed.
· Distribute all renewal letters and complete lease/renewal paperwork to ensure completion as per our guidelines.
· Inspect buildings, grounds, amenities, common areas, and units to ensure safety and cleanliness, and alert maintenance to items that need to be repaired or the Property Manager for potential liability issues or concerns.
· Assist the Property Manger during periods of absence.
· Assist the Property Manager with training our team on leasing, entering traffic, marketing, maintenance, and general office administration and operations.
· Accurate and timely complete daily, weekly, and monthly financial and leasing reports.
· Assist in leasing and marketing.
· Assist the Property Manager in driving consistency of operations as per our policies and procedures, institute best practices, ensure team adherence and identify and share ideas for improved systems, team productivity, etc.
· Provide amazing customer service to our future and current residents that will leave them ‘Surprised & Delighted’ each time they interact with our onsite team members.
· Provide additional support to the company and its other teams and communities as reasonably requested.
· Required to rotate on call 24/7 except during time off requests to handle after hour, emergency, and holiday calls. This includes during inclement weather.
Qualifications:
· Must be legally authorized to work in the United States.
· Must possess a valid driver’s license.
· Must have reliable transportation and maintain current automobile liability insurance for any vehicle used for business purposes.
· Minimum of one (1) year of experience in a multifamily Assistant Manager or comparable role.
· Bilingual (English/Spanish) is a plus.
Physical Demands
The physical demands described here are representative of those required to successfully perform the essential functions of this position. While performing the duties of this role, the employee may be required to move throughout the property, including traveling between floors, climbing stairs, and accessing multiple buildings in varying outdoor weather conditions. The employee will frequently be required to remain in a stationary position for extended periods of time (approximately 85% of the workday),and regularly use hands to operate office equipment and technology. This position also requires the ability to frequently walk, communicate, and hear in order to effectively interact with residents, prospects, and team members. The employee must be able to travel within a 20-mile radius of the assigned community as needed. Travel frequency and duration may vary based on operational needs.
Required Skills/Abilities
· Strong customer service and communication skills, with the ability to interact professionally with residents, prospects, and team members.
· Ability to execute leasing fundamentals, including greeting prospects, conducting tours, managing follow-up, and converting traffic to leases.
· Working knowledge of collections processes, including communicating balances, following up on delinquency, and supporting rent collection efforts.
· Strong organizational skills and attention to detail, with the ability to manage multiple priorities and follow tasks through to completion.
· Ability to support property operations by identifying issues, taking initiative, and escalating concerns appropriately.
· Proficiency in property management systems (e.g., Yardi) and basic computer applications, including Microsoft Office.
· Ability to follow established policies and procedures while maintaining professionalism and accountability in all aspects of the role.
· Ability to work collaboratively with onsite team members and take direction from the Property Manager.
· Flexibility to support business needs, including schedule adjustments and onsite coverage as required.Must have a reliable vehicle to perform various management tasks, property errands, commute to our BRM HQ, properties, and/or events as needed, and any other job-related travel. Must have proof of current registration and liability insurance for the vehicle using as transportation.
