Commercial Real Estate Brokerage Administrator

Bray Commercial Real Estate
Grand Junction, CO Full Time
POSTED ON 10/14/2026
AVAILABLE BEFORE 11/12/2026

We are looking for an exceptionally sharp, resourceful, and highly organized professional to provide dedicated brokerage support to our commercial real estate and business brokerage divisions. This role requires strong judgment, proactive follow-through, excellent customer service, and the ability to take ownership of work from request through verified completion.

About the Role:

As Commercial Brokerage Support, you will serve as a central support partner to Bray Commercial Real Estate and Bray Business Advisors Group leadership and brokers. You will develop a strong working knowledge of our brokers, inventory, platforms, vendors, and procedures so you can anticipate needs, identify issues, and help keep the division operating smoothly. You will interact with brokers, clients, prospects, vendors, community leaders and guest speakers, and other members of the company while supporting a high-volume commercial brokerage environment.

Who We’re Looking For:

  • A highly organized professional who creates structure, tracks open requests, and reliably closes the loop without requiring repeated follow-up
  • A proactive problem solver who exercises sound judgment, notices inconsistencies, and raises questions or recommendations before errors become client-facing
  • A confident communicator who can work with managing brokers, agents, clients, vendors, and staff while knowing when to independently resolve an issue and when to escalate
  • Someone who takes ownership of outcomes and verifies that listing, marketing, sign, compliance, and administrative requests were completed correctly and timely
  • A service-minded professional who learns the brokers and active inventory well enough to answer questions, route inquiries, and provide knowledgeable support
  • A pragmatic creative who can produce polished flyers, maps, site plans, offering memorandums, advertisements, and other marketing materials
  • A resilient and adaptable professional who can provide continuity and backup coverage when priorities shift or other staff members are unavailable

Key Responsibilities:

  • Serve as the primary administrative and operational support resource for Commercial Real Estate and Business Brokerage
  • Manage incoming calls and inquiries professionally and route prospects to the appropriate broker based on knowledge of the brokers, inventory, and client needs
  • Provide general office administration, maintain organized records, coordinate conference rooms and appointments, manage mail and deliveries as applicable, and support a professional office environment
  • Enter new listings and maintain listing information across applicable platforms, including GJARA Paragon MLS, CREN Paragon MLS, Aspen/Glenwood FLEX MLS, LoopNet/CoStar, Crexi, BizBuySell, and company websites
  • Create and update customized flyers, offering memorandums, aerials, regional maps, property-line maps, site plans, and other Commercial and Business Brokerage marketing materials
  • Manage Commercial sign inventory and coordinate installations, pickups, custom riders, vendor follow-up, invoice review, and alternate-vendor/RFP needs when appropriate
  • Maintain property keys and lockboxes, update showing systems, coordinate showings, and assist with property access as needed
  • Assist brokers with SkySlope paperwork and compliance by reviewing files for required documents, checking data for accuracy, answering routine questions, and helping keep documentation organized and moving through the compliance process
  • Assist with onboarding and training new Commercial and Business Brokerage brokers on listing systems, administrative procedures, and available support services
  • Support Commercial management initiatives, procedures, quarterly goals, workflow tracking, Trello boards, and other operational projects
  • Coordinate Commercial and Business Brokerage sales meetings, including agenda preparation, materials, scheduling, refreshments, action items, and follow-up
  • Assist with division retreats, broker events, client/prospect events, awards, and other Commercial and Business Brokerage functions
  • Manage Commercial and Business Brokerage social media accounts, including creating and scheduling posts, publishing content, maintaining a consistent presence, engaging with relevant community and industry content, and coordinating with brokers and the Marketing Director on messaging and campaigns
  • Coordinate broker-focused educational, client, and prospecting events, including seminars, by assisting with scheduling, speakers, venues, invitations, registration, promotional materials, presentations, and event logistics
  • Coordinate brokerage marketing campaigns, including assisting with content and design development, maintaining advertising schedules, gathering broker input, coordinating approvals, and ensuring materials are completed and deployed on time
  • Collaborate with the Marketing Director on print and digital advertising initiatives, including newspaper and magazine advertisements, articles, online advertising, email campaigns, promotional materials, and other marketing opportunities that support brokerage visibility, listings, lead generation, and business development
  • Maintain sufficient knowledge of active Commercial and Business Brokerage inventory, systems, and priorities to anticipate needs and provide informed support
  • Handle additional tasks as needed – this job description is not a comprehensive list of activities or expectations and there are other duties and responsibilities required

Qualifications:

  • Exceptional organization and attention to detail
  • Strong written and verbal communication skills
  • Excellent customer service and professional phone/email communication
  • Sound judgment, common sense, initiative, and the ability to work independently
  • Comfort managing multiple priorities, requests, websites, and deadlines at the same time
  • Extremely comfortable with digital technology and computer-based work
  • Proficient in Microsoft 365, including Outlook, Word, PowerPoint, and Excel
  • Comfortable learning and navigating MLS systems, LoopNet/CoStar, Crexi, BizBuySell, SkySlope, Canva, Trello, and other brokerage platforms
  • Ability to create polished marketing materials and visually useful maps, site plans, and presentations
  • Ability to proofread carefully and verify accuracy before work is released
  • Strong follow-through and willingness to take ownership of assigned work through completion
  • Comfortable receiving direction from brokerage leadership and collaborating with multiple company departments
  • Interest in learning the commercial real estate market, inventory, terminology, and brokerage processes
  • Ability to maintain discretion and professionalism with confidential client, transaction, and business information
  • Valid driver’s license and reliable transportation for occasional property visits, errands, sign/key coordination, and other local needs

Our Commitment to Excellence:

We set the bar high for service to our brokers, clients, and community. Our Commercial Real Estate and Business Brokerage teams work on complex assignments that require accuracy, responsiveness, good judgment, and strong follow-through. We believe support staff should be empowered to understand the work, take ownership, identify problems, and contribute ideas rather than simply process instructions.

We are committed to providing opportunities to learn the commercial real estate and business brokerage industries, develop new skills, build professional relationships, and grow with the role. The right person will become a trusted operational partner to brokerage leadership and an important part of the client-service experience.
