The Board Administrator manages board communications, maintains official records, coordinates meetings, and supports the Board and Executive Leadership in carrying out strategic and fiduciary responsibilities.
Essential Job Functions
Board Support & Coordination
- Serve as the primary point of contact for board members regarding administrative needs and meeting logistics.
- Coordinate and schedule board and committee meetings in collaboration with the Board Chair and Executive Director.
- Prepare and distribute agendas, board packets, reports, and supporting materials in advance of meetings.
- Attend all board and committee meetings; record and prepare accurate minutes, documenting actions and decisions.
- Track follow-up items, board tasks, and committee assignments to ensure timely completion.
- Maintain and update the official records of the Board, including bylaws, policies, resolutions, meeting minutes, and rosters.
- Ensure compliance with nonprofit governance requirements, including filings, disclosures, and organizational documents.
- Assist with board member onboarding, training, and orientation processes.
- Support the development of board calendars, annual plans, and governance cycles.
- Facilitate clear and timely communication between board members, leadership, and ministry branches.
- Support board engagement by maintaining updated contact information, bios, and service records of all directors.
- Coordinate special events, board retreats, and training sessions.
- Provide reminders and updates to ensure board members are prepared and informed.
- Assist the Executive Director and Board Chair with strategic planning and documentation.
- Maintain confidential files and sensitive board information.
- Provide administrative support for board recruitment, nominations, and succession planning.
- Help track and report on board participation, giving, and compliance with policies.

- Proficiency with Microsoft Office Suite, Google Workspace, and board management software (preferred).
- Ability to maintain confidentiality and exercise sound judgment.
