Duties
- Greet visitors, clients, and staff warmly, ensuring they feel welcomed and attended to promptly
- Manage multi-line phone systems, directing calls accurately and professionally using proper phone etiquette
- Handle appointment scheduling and calendar management for office staff or medical/dental professionals
- Perform data entry, filing, and document proofreading to maintain accurate records and organized files
- Utilize computer skills including Microsoft Office Suite (Word, Excel, Outlook) and Google Workspace for various administrative tasks
- Support office management by coordinating supplies, managing incoming correspondence, and assisting with clerical duties such as photocopying and faxing
- Provide customer support by answering inquiries via phone or email, offering helpful information or redirecting as needed
Qualifications
- 3 years office experience with strong clerical skills and familiarity with office management
- Excellent organizational skills with the ability to prioritize tasks effectively in a fast-paced environment
- Proficiency in computer literacy, including Microsoft Office (Word, Excel)
- Strong typing skills with attention to detail for proofreading and data entry tasks
- Experience with multi-line phone systems and professional phone etiquette
- Bilingual abilities are highly desirable to serve diverse client needs effectively
- Knowledge of EMR, billing and coding, and insurance verifications preferred
- Ability to handle confidential information discreetly while maintaining professionalism at all times
