Location: In Office - Houston, Texas
Hours: Monday–Friday, 8:00 AM – 5:00 PM (CST)
Reports To: Sales Representative & President
About the Role
We’re looking for a highly organized, detail-driven Account Coordinator to support our sales team while managing client relationships and project execution. This role sits at the intersection of sales support, account management, marketing coordination, and operations, ensuring every client interaction and order is handled with accuracy and speed.
You’ll serve as a key point of contact for assigned clients while coordinating internally with sales, marketing, creative, production, and fulfillment teams to deliver an exceptional experience.
What You’ll Do
Account Management & Client Support
- Maintain strong, positive client relationships and ensure satisfaction
- Respond to client emails and calls within 2–4 hours
- Determine client needs and recommend products and solutions
- Present new product ideas and offerings proactively
- Resolve client issues quickly and effectively
- Ensure all goods and services meet client expectations
Sales & Operational Support
- Assist sales reps with quotes, proposals, presentations, and samples
- Build proposals using sample inventory and research tools
- Manage order entry, specs, artwork requirements, and pricing accuracy
- Track order progress and flag any delays or issues
- Coordinate across teams to ensure smooth execution
- Facilitate internal handoffs and project alignment
Project & Inventory Coordination
- Organize and manage sample inventory (office & warehouse)
- Track and follow up on all sample orders
- Tag, store, and maintain product collections
- Prepare and ship client sample requests
- Manage spec samples, embroidery decoration, and sample builds
- Assist with mailer campaigns (kitting, sourcing, handwritten notes)
- Prepare labels and coordinate with warehouse and embroidery teams
Marketing & Client Experience Support
- Assist with product presentations and client meetings
- Prepare client gifts, referral gifts, and marketing mail-outs
- Coordinate branded in-office client interactions
- Support product showcase events (registration, gifting, engagement)
- Encourage survey participation and manage raffle entries
Systems & Process Management
- Maintain CRM with accurate notes, follow-ups, and communication tracking
- Manage dashboards, client files, and communication plans (Facilis best practices)
- Communicate with vendors to confirm pricing, inventory, and order details
- Ensure consistent use of tools, checklists, and processes

- On-Time Delivery Rate – Projects completed on schedule
- Order Accuracy – Correct specs, pricing, and details
- Process Accuracy – Strong system usage and documentation
- Client Satisfaction – Fast responses and high-quality service
Qualifications
- High school diploma required
- 2 years of higher education or relevant work experience
- Customer service experience required
- Promotional products or print industry experience preferred
- Proficiency in Microsoft Office (Outlook, Excel, Word, PowerPoint)
