We are seeking a detail-oriented, service-driven Human Resources Assistant to support daily Human Resources operations. This role plays a key part in ensuring a smooth employee experience—from onboarding to offboarding—while maintaining accurate records, supporting compliance, and helping cultivate a positive workplace culture.
Essential Functions:
Employment Lifecycle Support
- Coordinate onboarding for new hires, including paperwork, background checks, fingerprinting, orientation scheduling, and system setup.
- Facilitate offboarding processes such as exit documentation, system access removal, and final record updates.
- Maintain accurate and confidential employee files in both physical and digital formats.
HRIS & Records Management
- Enter, update, and audit employee information in the HRIS to ensure data accuracy.
- Track and maintain required certifications, licenses, and compliance documentation.
- Generate routine HR reports as needed.
Benefits Administration
- Assist employees with benefit enrollment, changes, and general inquiries.
- Reconcile monthly benefits invoice to payroll deductions report
- Support annual open enrollment activities and maintain benefit records.
- Coordinate with benefit vendors to resolve employee issues.
Payroll Support
- Prepare and submit payroll changes, including new hires, terminations, pay adjustments, and leave updates.
- Review payroll reports for accuracy and follow up on discrepancies.
Leave of Absence & Workers’ Compensation
- Support administration of LOA/FMLA, including tracking, documentation, and employee communication.
- Assist with Workers’ Compensation claims, reporting, and follow-up.
Training & Compliance
- Assign, track, and follow up on required compliance training, including CPR certification and annual district-mandated courses.
- Maintain training records and ensure timely completion.
Purchasing & Administrative Support
- Process HR-related purchasing requests and maintain supply inventory.
- Provide general administrative support to the HR team and Chief Operations Officer as needed.
Culture, Rewards & Recognition
- Assist with employee recognition programs, appreciation events, and HR-led culture initiatives.
