What are the responsibilities and job description for the Medical Records/Collections Clerk position at Bradley County Medical Center?
This position will function as a dual role- performing all clerical functions necessary to file, retrieve, copy and distribute medical records, as well as being responsible for the onsite collection of payments and operation of the hospital switchboard. This position will report directly to the Business Office Supervisor.
Position Accountabilities: (Medical Records)
- Processing charts for correctness and completeness of identification with high attention to detail
- Ability to identify incomplete medical records and assign them to the appropriate clinical staff
- Scan missing documentation into the appropriate medical record
- Identify and process requests of information from third parties and patients ensuring compliance prior to release
- Delinquency management
- Departmental compliance with federal and state regulations, medical staff bylaws and any other regulatory agency as applicable
- Works collaboratively with physicians, department managers and other healthcare providers to achieve department and hospital goals
- Maintain confidentiality within HIPAA and any other regulated requirement
Position Accountabilities: (Collections)
- Investigate and resolve discrepancies related to account balances
- Handle inbound and outbound calls
- Collaborate with other departments to address account issues and provide comprehensive debtor support
- Adhere to federal, state and other governing debt collection practices such as the Fair Debt Collections Practices Act (FDCPA)
- Separate and scan mail to the appropriate department
- Receive in-house payments
- Open department and insurance mail
- Provide Financial Assistance Applications for people requesting assistance
- Work mail returns for bad address or undeliverable
- Make daily deposits from insurance payments received in the mail and patient payments collected
- Keep accurate and up to date records of all communications in the financial system database
- Maintain strict confidentiality and adhere to all HIPAA guidelines
- Provide excellent customer service

- Ability to complete other duties as assigned
Other Requirements:
- High school diploma or formal equivalent
- 1 years of experience in either position
- Ability to bend, lift, stoop and stand for long durations
- Regular attendance is required
Salary : $35,000 - $55,000
