JOB SUMMARY:

This position performs a variety of tasks regarding customer service, case initiation and retention for the Domestic Relations Office. This is a clerical position with the experience, knowledge, and training to support and assist essential processes throughout the Domestic Relations Office. Must have the capacity to acquire knowledge of the functions, procedures, governing laws, and regulations of the Domestic Relations Office. Must possess the ability to multi-task and prioritize with strong organizational capabilities. Requires interpersonal, critical thinking, and problem-solving skills. Ability to effectively relate to, and communicate with, the general public, using active listening, while maintaining a positive and professional attitude. Ability to demonstrate respect for, and awareness of others, good judgment in responding to conflict, and flexibility to adapt to changes in the work environment. Ability to understand, use, and manage one's emotions positively to relieve stress, communicate effectively, empathize with others, overcome challenges, and defuse conflict.

DISTINGUISHING FEATURES OF THE CLASS:

This position requires several intake services provided for clients, from routine to technical. Deals with complex cases involving knowledge of intrastate, interstate, and local laws.

JOB FUNCTIONS:

· Greeting and directing clients.

· Answers and transfers calls takes messages, provides information, and any follow-up regarding client questions or concerns.

· Provides and assists the public in the preparation of office forms.

· Proficiency in the use of standard office equipment such as computers, fax, copier, scanner, etc. Is an expert on the case initiation function of PACSES.

· Monitor state's e-services requests and follow up as needed.

· Monitor county email, and IVR (internal voicemail system), providing responses, adding information provided, to files, state imaging system, or forwarding as needed.

· Scanning and indexing office files and documents, shredding confidential material in accordance with BCSE regulations.

· Document case contacts and actions in the PACSES note system. Identify and refer cases for further action when appropriate.

· Liaison with CAO, CYS, Housing Authority and attorney's offices, providing and recording client case information as required.

· Time and date stamps critical court documents.

· Office contact for Court Administration and Hearing Master regarding remote attendance for hearing requests, and other court matters.

· Deals with other state and county courts as well as tribunals. Files intrastate and local complaints and petitions.

· Processes CYS costs complaints.

· Schedules and re-schedules cases for conferences and master hearings, processes complaint/petition withdrawals.

· Schedules and re-schedules intake appointments.

· Checks in clients for intake and conference appointments.

· Coordinates with the Conference Officer, ensuring pertinent client information is placed in files and conferences proceed on time.

· Maintain the visitor's log daily required in BCSE's Security Guide.

· Collaborates with the Sheriff's Department and Domestic Relations Office, securing access of Domestic Relations clients and ensuring office personnel's safety.

· Provides coverage for intake with client overflow, scan/file clerk duties, reconciliation of daily transactions, and attending court hearings.

· Keeps record of, and closes out closed case files, removing from active case areas. Maintains closed case files, purging after the allotted five-year retention interval.

· Picks up, processes and distributes mail. Signs Notification Affidavits, Collects, combines, and runs postage for nightly mail, in a cost-effective manner.

· Works independently with minimal supervision. Performs other duties as assigned.

PHYSICAL AND MENTAL REQUIREMENTS:

Must have the ability to record, convey, and present information, explain procedures, and follow instructions. Must be able to sit for long periods with frequent periods of standing, walking, and occasional twisting, reaching, pulling, and pushing required for obtaining files, doing inspections, or other job duties. Dexterity requirements range from simple to complex movements of fingers/hands, legs/feet, or torso to carry out job duties. Sedentary work with occasional lifting, 15-20 pounds; Must demonstrate emotional stability. Ability to cope with the physical and mental stress of the position. Must be able to pay close attention to detail and concentrate on work.

REQUIRED KNOWLEDGE, SKILLS and ABILITIES:

Thorough knowledge of methods used in keeping child support records and of office terminology, procedures, routines, and equipment; ability to understand and carry out complex oral and written directions and get along well with others.

MINIMUM EXPERIENCE and TRAINING:

Some experience in clerical work involved typing at the Clerk Typist I level and completing a standard high school course, with business school training highly desirable; or any equivalent combination of experience and training that provides the required knowledge, skills, and abilities.
