**Overview**
We are seeking a skilled and detail-oriented payroll clerk to join our team. The payroll clerk will be responsible for calculating and posting payroll timekeeping information on a weekly basis. The payroll clerk will also be responsible for gathering and entering bills for work completed by subcontractors. The essential functions include: inputting payroll data, timekeeping and personnel information into an automated or manual system; preparing a variety of payroll/personnel related forms, memos, reports, and other correspondence; providing clerical support to departmental staff; analyzing and interpreting computer reports in order to respond to employee payroll problems and discrepancies; providing information to employee and other departmental staff regarding routine timekeeping and payroll inquiries; maintaining files and records; providing accurate and complete documentation of payroll/personnel transactions in hard copy; and performing related duties as required. The ideal candidate will have experience in QuickBooks payroll processing and will be able to work well with directions and with other team members.
**Responsibilities**
- Generate time sheets from AMG and update daily time cards based on employee requests and supervisor approval
- Research discrepancies of payroll data (e.g. time sheets, leave time, unemployment eligibility, direct deposit requirements, salary schedule, benefit eligibility, etc.) for the purpose of ensuring accuracy and adherence to procedures prior to processing.
- Gather subcontractor payout and retainage detail from branches and review for accuracy and completeness ensuring the subcontractors carry the required workers' compensation coverage.
- Input data into spreadsheets, reviewing calculations and ensuring data integrity.
- Input employee compensation data into QuickBooks and review employee paychecks to ensure accuracy of calculations.
- Input subcontractor payouts and generate bills in QuickBooks
- Process ACH transactions to pay employees and subcontractors and post the relevant entries in QuickBooks
- Process payments to payroll tax authorities, insurance carriers and custodian of retirement funds making sure the payments are consistent with wage accruals
- Provide courteous, flexible and satisfactory customer service by responding to routine timekeeping and payroll inquiries, making changes to employees’ information, resolving discrepancies and/or clarifying procedures for employees, supervisors, managers and others, both in person and over the telephone.
- Maintain detailed files and record-keeping systems to assure accurate and complete documentation of payroll/personnel transactions in original copy and to ensure accountability and controls.
- Receive, distribute, and file payroll/personnel related reports.
- Handle a variety of routine administrative or technical departmental assignments.
- Keep abreast of payroll system procedures, updates and changes.
- Maintain employee records in both written and electronic formats, (e.g. employee records, leave status, time cards, deductions, W-4’s, etc.) for the purpose of ensuring records are current and providing an up-to-date reference and audit trail compliance.
