District Maintenance Manager - 1.0 FTE, professional non-exempt position
SALARY: $60,000 - $64,000, plus $16,000 additional comp. For a full-year (260 day) 1.0 FTE position.
SUMMARY:
The District Maintenance Manager plans, organizes, coordinates, and performs comprehensive maintenance operations for all District facilities. This position serves as the District’s lead maintenance resource, responsible for troubleshooting building system issues; performing and overseeing preventative, corrective, and emergency maintenance; coordinating contracted services; and supporting, training, and collaborating with custodial staff to ensure safe, efficient, and well-maintained learning environments. Responsibilities span all building systems, including HVAC, plumbing, electrical, mechanical, machinery, equipment, and building automation systems.
ESSENTIAL DUTIES AND RESPONSIBILITIES:
- Serve as the District’s primary maintenance lead for all facilities, providing technical expertise and hands-on support for HVAC, plumbing, electrical, mechanical, and building system issues.
- Troubleshoot, diagnose, and resolve complex maintenance problems across all District buildings and sites, responding to routine, urgent, and emergency maintenance needs.
- Plan, implement, and perform a comprehensive preventative maintenance program to extend the life of building systems, equipment, and infrastructure.
- Maintain detailed maintenance records, work orders, equipment logs, warranties, inspection reports, and preventative maintenance schedules using District-approved systems.
- Coordinate, schedule, and oversee outsourced maintenance, repair, and construction services; obtain quotes; assist with contractor selection; monitor work quality; and verify completion in accordance with District standards and safety requirements.
- Collaborate closely with custodians, head custodians, and site administrators to efficiently identify issues, prioritize work, and resolve building-related concerns.
- Train, coach, and support custodial staff in basic maintenance troubleshooting, proper operation of equipment, safe work practices, and preventative care techniques.
- Conduct regular inspections of District facilities, mechanical rooms, roofs, grounds-related systems, and equipment to assess condition, identify deficiencies, and recommend repairs or replacements.
- Assist in planning and implementing maintenance aspects of capital improvement projects, remodels, and new construction, including coordination with architects, engineers, and contractors as assigned.
- Ensure compliance with applicable safety standards, building codes, environmental regulations, and District policies, including lockout/tagout, confined space, and hazardous materials procedures.
- Work collaboratively with the Facilities Director, Custodial & Grounds Supervisor and Buildings Systems Manager to identify performance gaps, training needs, and opportunities for improved maintenance practices; provides recommendations and technical guidance without direct supervisory authority.
- Participate in budget development by identifying maintenance needs, lifecycle replacement costs, equipment purchases, and contracted service requirements; monitor assigned expenditures.
- Support emergency response efforts related to facility failures, weather events, security incidents, staffing issues, or other urgent situations, including availability outside normal work hours as needed.
- Maintain inventories of tools, parts, supplies, and equipment; recommend standardization where feasible to improve efficiency and control costs.
- Operate and maintain District vehicles, machinery, tools, and specialized maintenance equipment.
- Provide excellent customer service to staff, students, and community members by communicating clearly, responding promptly, and fostering positive working relationships.
- Perform related duties as assigned.
QUALIFICATION REQUIREMENTS:

KNOWLEDGE OF:
- Principles, methods, materials, tools, and equipment used in the maintenance, repair, and operation of public school facilities.
- HVAC systems, controls, and building automation systems; preventative maintenance and troubleshooting of boilers, hydronic systems, air handling units, and related equipment.
- Electrical systems, lighting controls, power distribution, and life-safety systems.
- Plumbing systems, fixtures, pumps, drains, and water distribution systems.
- Mechanical systems, machinery, tools, and maintenance equipment.
- Preventative maintenance programs, asset management, and work order systems.
- Occupational safety standards and regulations, including OSHA requirements, PPE, SDS management, and safe work practices.
- Applicable building codes, energy efficiency principles, and environmental regulations.
- Basic budgeting, purchasing, and contract coordination principles.
ABILITY TO:
- Diagnose and resolve complex facility maintenance issues across multiple building systems.
- Plan, prioritize, and manage multiple maintenance tasks and projects simultaneously.
- Communicate effectively with custodial staff, administrators, teachers, vendors, contractors, and the public.
- Train and mentor custodial staff in maintenance techniques, safety procedures, and proper equipment use.
- Work independently with minimal supervision and exercise sound judgment under time constraints or emergency conditions.
- Read, interpret, and apply technical manuals, schematics, blueprints, and safety documentation.
- Maintain accurate records, prepare reports, and use computerized maintenance management systems and standard office software.
- Establish and maintain effective working relationships and foster teamwork and cooperation.
- Perform physical work associated with maintenance activities, including climbing, lifting, and working in confined or elevated spaces.
- Stoop, kneel, crouch, crawl, and reach with hands and arms.
- Lift and/or move up to 50 pounds and frequently handle tools, equipment, and materials.
- Specific vision abilities required include close vision, distance vision, color vision, and depth perception.
- The employee must be able to travel between District sites.
EDUCATION AND TRAINING:
- High school diploma or general education degree (GED) required
- Associate’s degree or vocational/technical training in facilities maintenance, HVAC, electrical, plumbing, or a related field preferred.
CERTIFICATES, LICENSES, REGISTRATIONS:
- Possession of a valid Montana Driver’s License is required at the time of appointment.
- High Pressure Boiler Operator License or the ability to obtain it within 6 months.
- Relevant trade certifications or licenses (e.g., HVAC, electrical, etc) are preferred, but not required.
EXPERIENCE:
- Five (5) years of progressively responsible experience in building maintenance or facilities operations involving HVAC, electrical, plumbing, and mechanical systems. Experience in a school or similarly complex institutional environment is preferred.
- Supervisory or lead-worker experience and experience coordinating contractors or vendors is highly desirable.
- Any equivalent combination of education, training, and experience that provides the required knowledge, skills, and abilities may be considered.
SPECIAL REQUIREMENTS:
- May be required to work evenings, weekends, holidays, or respond outside normal work hours for emergencies.
- Ability to obtain and maintain any required certifications or licenses related to the position.
WORKING ENVIRONMENT:
The work environment includes both indoor and outdoor settings and exposure to a full range of Montana weather conditions. Regular exposure to noise, dust, fumes, cleaning agents, chemicals, and mechanical equipment will occur. The employee will regularly work on ladders, lifts, roofs, mechanical rooms, and around operational building systems. Work will be performed on active school sites during and outside normal school hours.
