Job Summary
We are seeking an energetic and detail-oriented Administrative Assistant to support our organization’s daily operations. This vital role involves managing front desk responsibilities, coordinating office functions, and providing exceptional customer service. The ideal candidate will be highly organized, tech-savvy, bilingual (preferred), and passionate about making a positive impact in our community.
Primary Function
The Administrative Assistant will oversee the Club’s front desk area, assist Club Director and/or Director of Operations with administrative responsibilities and reporting, including grant reporting.
Job Responsibilities – Including, but not limited to;
· Ensure the safety of Club by monitoring traffic of members, staff, volunteers, and visitors entering/exiting building
· Check-in members daily and provide line of sight supervision, ensuring members are entering/exiting building safely
· Process Guests
· Monitor Cameras
· Stay late with Club Director as needed to monitor the supervision of members
Create Welcoming Club Environment:
· Greet members, families, volunteers, and visitors in a friendly and courteous manner
· Keep front lobby area clean, organized, and welcoming
· Supervise the front lobby while Club is open to members
Data Entry:
· Update and maintain Club’s members in MyClubHub
· Complete daily Batch Scanning in MyClubHub
· Process and enter membership and renewal information
Grants:
· Gather information needed for grant applications and reports
· Assist with maintaining grant files
· Compile regular reports reflecting all activities, attendance, participation, and other necessary information for grants
Administrative Tasks:
· Answer phones
· Page members for phone calls or pickups
· Assist in keeping member files organized and updated
· Print/handout/ensure translation of Club paperwork
· Process and handout Activity Packets for days Club is closed
· Manage payments and paperwork concerning memberships
· Update bulletin boards
· Create/print Club signs
· Assist with notifying parent/guardians of member behavior/illness
Additional Responsibilities
· Participate in special programs and/or events
· Drive Club van
· Order and pick up supplies as needed
· Help maintain cleanliness of facility by checking areas, after use and requiring children/staff to clean areas after use
· Oversee Club, staff, and members when Club Director is gone
· Willingness to assist staff and Administration as needed
Skills/Knowledge Required
· High School diploma or GED required. Associates preferred
· Advanced computer skills
· Knowledge of Microsoft Office products
· Experience in working with youth and knowledge of youth development
· Ability to motivate youth and manage behavior problems
· Ability to organize and supervise members in a safe environment
· Valid state driver’s license and good driving record

· Excellent written and verbal communication skills
· Must have good planning and organizational skills and be detail oriented
· Ability to deal with members, staff, and the general public in a friendly, professional manner
· Ability to manage multiple tasks
· Ability to utilize and generate a wide variety of written, digital technical, verbal, and multi-media information for Club program purposes
Physical Requirements/Work Environment
· Must be able to lift 25 pounds
