Duties
- Manage member registration processes, including data entry and verification using tools like QuickBooks and Google Workspace
- Serve as the front desk receptionist, greeting visitors and members with professionalism and enthusiasm
- Handle multi-line phone systems with excellent phone etiquette, providing prompt assistance and support
- Maintain accurate records through filing, proofreading, and data entry to ensure database integrity
- Assist with calendar management, scheduling appointments, events, and meetings efficiently
- Provide exceptional customer support via phone, email, and in person, addressing inquiries and resolving issues promptly
- Support office management tasks such as bookkeeping, office supply inventory, and general clerical duties
Requirements
- Proven experience in office management or administrative roles with strong organizational skills
- Proficiency in Microsoft Office Suite (Word, Excel, Outlook) and familiarity with Google Workspace tools
- Experience with QuickBooks or similar accounting software is highly desirable
- Excellent communication skills in English; bilingual abilities are a plus for serving diverse members
- Prior clerical experience including data entry, filing, proofreading, and calendar management
- Knowledge of multi-line phone systems and phone etiquette best practices
- Ability to handle multiple tasks efficiently while maintaining attention to detail and time management skills
- Previous experience in customer service or reception roles such as dental or medical receptionist is advantageous
- Strong computer literacy with the ability to adapt quickly to new software applications
