Primary Function: The Office Assistant reports directly to the Office Manager. The Office Assistant assists with administrative and operational systems and procedures to support the Club's achievement of programming and fundraising goals. Maintains office calendar of events and deadlines and improves workflow. Trains staff in office procedures and equipment use. Maintains MyClubHub database, reconciles cash intake, answers phone, greets guests and parents & signs Club members in and out. This afternoon position will need to work closely with the Office Assistant who will work the morning shift to coordinate tasks.
Areas of Responsibility:
Front Desk Reception
- Keep a professional, respectful, and kind attitude in helping Club members, parents, guests, and coworkers. This position is often the first interaction with the Boys & Girls Club.
- Maintain a safe, secure, clean front desk and lobby area at all times.
- Clean/sanitize the front desk/lobby area every evening.
- Monitor members’ arrival and departure from the program, while providing excellent customer service to parents, members, staff, and visitors.
- Maintain accurate and daily membership records, required supporting documents, and manage the collection of membership fees through MyClubHub. Review and assess frequently for data integrity.
- Help parents & guardians register new members as needed.
- Perform nightly cash register reconciliation and maintain financial records of payments received, cash intakes, and reconciliation, according to standards and controls.
- Answer telephones, provide general information, refer callers to other staff, or take messages as appropriate.
- Assist with Site Director and Youth Development Professional needs, i.e., telephone calls for club members, contact with club parents, and relaying information to families.
- Demonstrates consistent reliability by maintaining punctual and regular attendance.
Program Support
- Provide support to the McGraw Clubhouse Site Director as requested.
- Help parents/guardians with registration, billing, and programmatic questions.
Risk Management and Maintenance
- Verify the identity of authorized guardians for Club member pick-up.
- Ensure adherence to appropriate standards and procedures.
- Participate in monthly safety drills.
- Ensure a clean, healthy, safe, positive environment is created and maintained, producing a sense of physical and emotional safety.
- Ensure staff and others are trained in the use of Club equipment and that they assist in creating a clean, healthy, safe, and positive environment.
- Ensure that facilities, equipment, and supplies are maintained. Schedule maintenance for office equipment, copier, etc.
Administrative Assistance
- Provide administrative support to the Executive Director, Director of Operations, Finance Director, Resource Development Director, and Office Manager, as requested.
Additional Responsibilities
- Exercise authority in problems relating to facility safety issues.
- Participate in special programs and events.
- Assume other duties as assigned.
Relationships
- Internal: Maintain close, daily contact with Club professional staff to ensure a clean, healthy, safe, and positive environment is created and maintained, producing a sense of physical and emotional safety and minimizing risks in the Club's physical environment.
- External: Maintain a professional and welcoming environment for all Club members, parents & guardians.
Skills/Knowledge Required:
- High school diploma required; Associate degree from an accredited institution of higher education preferred
- One year experience in an office assistant setting
- Fluency in English & Spanish
- Combination of education, training, and experience equivalent to one year in office assistance role
- Demonstrated knowledge of processes related to office functions
- Microsoft Office Suite
- Google Workspace Experience preferred
