TITLE: Director of Operations
DEPARTMENT: Operations / Administrative
REPORTS TO: Chief Executive Officer
FLSA STATUS: Exempt
PRIMARY FUNCTION:
Oversees Club operations and programs with primary concern for safety, program development and implementation; staff development; supervision of assigned staff; facilities; and budget adherence.
KEY ROLES (Essential Job Responsibilities):
Leadership
1. Oversee the implementation and delivery of operations, programs, services and activities that facilitate achievement of Youth Development Outcomes.
2. Provide direct technical assistance to local Clubs via on-site assessments, emails, telephone, and in-person consultations.
3. Demonstrate passion and commitment to the organization’s mission and guiding principles (excellence, belonging, continuous improvement, accountability, collective impact).
Strategic Planning
4. Oversee the identification and evaluation of opportunities to improve program effectiveness on the basis of participation and achievement of stated goals; recommend modifications to improve program performance, as appropriate.
Resource Management
5. Contribute to departmental budget development, monitor and report variances in revenues and expenditures.
6. Manage administrative and operational processes, overseeing the maintenance and repair of buildings, vehicles, equipment, and other facilities.
7. Manage performance of assigned staff in achieving goals, providing technical assistance in program design, development, community relations and program operations.
8. Plan and implement a staff development and training program.
9. Lead the organization’s efforts in risk management and control, premises liability, security, property hazards, sports and aquatic safety, emergency response planning/procedures, crisis management, vehicular safety, bullying, and child abuse.
Partnership Development
10. Develop collaborative partnerships with other youth serving organizations, members, parents, families and community organizations.
11. Support Board Committees, as assigned.
Marketing and Public Relations
12. Participate in activities to maintain good public relations for Club programs, services and activities.
ADDITIONAL RESPONSIBILITIES:
1. Collaborate, and sometimes lead, in the administration of grant programs by overseeing program operations at each location; ensures the completion of required reports; and preparation of any required reports.
2. Participating in human resources programs and systems including recruitment, employee relations, training and development.
RELATIONSHIPS:
Internal: Maintains close, daily contact with Club professional staff to ensure a clean, healthy, safe, positive environment is created and maintained producing a sense of physical and emotional safety and minimizing risks in the Club's physical environment. Maintains close contact with assigned staff to provide technical assistance in matters of programming and operations; interacts regularly with Chief Executive Officer and as assigned with the Board and its Committees.
External: Maintains contact with external community groups, schools, members’ parents, and others to coordinate operations and assist in resolving problems.
SKILLS/KNOWLEDGE REQUIRED:
- Bachelor's degree from an accredited college or university.
- A minimum of five years of work experience in non-profit agency operations management and supervision.
· A minimum of five years of work experience in multi-site supervision in the field of youth development.
- Considerable knowledge of the mission, objectives, policies, programs and procedures of Boys & Girls Clubs; of the principles and practices of non-profit organizations.
- Demonstrated ability to organize, direct and coordinate operations; in personnel supervision, the recruitment and retention of key personnel; facilities management; and budget management.
- Excellent written, verbal and interpersonal communication skills.
- Ability to manage multiple tasks and to develop solutions to problems with limited supervision.
- Ability to establish and maintain effective working relationships with Club staff, subordinates, Board members, community groups, and other related agencies.
- Ability to effectively use technology while in a primary work location and while traveling.
- Ability to work interdepartmentally to get results.
- Ability to influence others to make needed changes even without having authority to mandate change.
- Ability to think conceptually and develop innovative solutions.
PHYSICAL REQUIREMENTS/WORK ENVIRONMENT:
The physical demands of this position include standing, walking, lifting up to 25 pounds, reaching, grasping, bending, stooping, kneeling, and the ability to communicate and hear clearly. Employees will need to perform tasks that require manual dexterity and visual or auditory attention. Must possess a valid Virginia driver’s license.
