What are the responsibilities and job description for the Metro Youth Day - Event Coordinator position at BOYS & GIRLS CLUBS OF SOUTHEASTERN MICHIGAN?
The Metro Detroit Youth Day – Event Coordinator will oversee the planning, coordination, and execution of all activities related to Metro Detroit Youth Day, one of the region’s largest youth engagement events. This role will serve as the primary liaison between BGCSM, the MDYD organizing committee, sponsors, vendors, volunteers, and community partners to ensure the event is executed efficiently and reflects BGCSM’s mission and values.
The Event Coordinator will work closely with leadership and cross-functional teams to deliver an inspiring, safe, and impactful event experience for all participants.
Key Responsibilities
Event Planning & Coordination
- Lead and manage the full planning cycle for Metro Detroit Youth Day, including logistics, scheduling, budgeting, and reporting.
- Coordinate with internal departments and external partners to align event goals with BGCSM’s strategic objectives.
- Secure necessary permits, insurance, and vendor contracts in compliance with organizational and city requirements.
- Develop and maintain event timelines, task lists, and progress trackers.
- Manage event-day operations, including setup, volunteer coordination, registration, and breakdown.
Partnerships & Sponsorships
- Support sponsorship outreach and follow-up communications with corporate, civic, and community partners.
- Coordinate with BGCSM’s Development team to ensure sponsor deliverables and recognition are fulfilled.
- Cultivate relationships with community leaders and vendors to strengthen event impact and reputation.
Volunteer & Staff Coordination
- Collaborate with the People & Culture team to recruit, onboard, and assign volunteers.
- Develop clear volunteer communication, training, and event-day coordination plans.
- Supervise and support volunteers and temporary staff to ensure smooth event execution.
Communications & Marketing
- Work with Marketing & Communications to develop event collateral, signage, and promotional materials.
- Assist with press releases, social media updates, and post-event highlights.
- Represent BGCSM and MDYD at community meetings and pre-event outreach activities.
Evaluation & Reporting
- Conduct post-event evaluations and compile summary reports including attendance, engagement metrics, and feedback.
- Document lessons learned and recommendations for future events.
Qualifications
- Bachelor’s degree in Event Management, Communications, Nonprofit Management, or related field (or equivalent experience).
- 2 years of experience in event coordination, community engagement, or project management.
- Strong organizational skills and ability to manage multiple priorities.
- Excellent written and verbal communication skills.
- Ability to work collaboratively with diverse groups of staff, volunteers, and partners.
- Flexible and able to work evenings/weekends leading up to and during the event.
- Passion for youth development and BGCSM’s mission.
