What are the responsibilities and job description for the Office Manager position at Boys & Girls Clubs of San Juan County?
This position combines phone duties, public reception, working with members, administrative assistance, and general program duties.
Duties:
- Inventory, track use, and purchase office and building supplies as necessary.
- Manage overall cleaning of facility. Including making sure all cleaning supplies and equipment are provided for daily cleaning and special projects.
- Research and inform staff on new and different supply items available for accomplishing tasks.
- Main contact for equipment usage and repair. Works with vendors to ensure repairs are being done correctly. Trains office staff in its use.
- Schedule all building repairs, including plumbing, electrical and HVAC.
- Schedules and tracks Club activity registrations.
- Oversee recording of sports members and confirm registrations with AD.
- Manages all membership information including forms, cards, and tracking systems. Provides monthly attendance report to the CEO.
- Main contact for the scholarship program. Sets appointments for CEO.
- Receives and tracks registration and program fees.
- Verifies all monies received in Club by concession, gate, front desk/mail, or other avenue. Double-counts all monies to be deposited to the bank.
- Manages the reception area. Checks and verify all the information to be distributed. Trains all reception staff across all three sites. Reviews and updates general information voice mail and gets all messages off general Club voice mailbox.
- Assist with new hire paperwork and scheduling background checks.
- Oversee the food/snack program, including ordering snacks and submitting quarterly reports.
- Make volunteer/job applications for all Clubs
- Other duties and tasks as assigned.
Qualifications:
- Proficiency in Microsoft Office: word and excel primarily
- Basic bookkeeping skills.
- Excellent phone and communication skills.
- Able to function effectively in a high paced and high energy environment.
- Able to manage and prioritize several projects.
- Operates as a team player.
Job Type: Full-time
Pay: $32,000.00 - $38,000.00 per year
