The Chief Financial Officer is a key member of the Executive Leadership Team, responsible for managing the organization's financial health and stability. The CFO is vital in strategic planning, financial reporting and analysis, budgeting, income tax reporting, internal control policies and procedures, and ensuring compliance with financial regulations. Additionally, the CFO collaborates closely with the executive team and the board of directors to make informed financial decisions that support the organization’s mission and growth.

 

 

SUPERVISORY RESPONSIBILITIES:

Oversees a department of two direct reports and one indirect report.

 

 

ESSENTIAL DUTIES AND RESPONSIBILITIES:    

Financial Strategy and Planning:

  • Develop and implement the organization's financial strategy aligned with its mission and goals.
  • Provide strategic financial input and leadership on decision-making issues affecting the organization.
  • Identifies and evaluates opportunities for improved financial operations, recordkeeping, and reporting.
  • Forecast financial trends, analyze and interpret financial data, and recommend appropriate actions.
  • Serves as financial advisor to the CEO and Board of Directors on major financial decisions.
  • Establishes and implements policies and procedures for all financial management functions, ensuring appropriate controls and compliance with generally accepted accounting practices. Ensures compliance with financial policies.
  • Develops and maintains tools and systems to provide critical financial and operational information to the Senior Leadership Team, Directors, Finance Committee, and Board of Directors.

Budgeting and Financial Management:

  • Prepare and oversee the annual budgeting process with program managers and senior leadership.
  • Monitor budget variances, identify areas of concern, and develop strategies to address financial challenges.
  • Ensure efficient and effective financial management practices, including cash flow, investments, and financial risk management.
  • Leads organizational planning and development of operating and capital budgets and controls expenditures against budget.
  • Attends meetings of the Executive Committee, Board of Directors, Finance Committee in an advisory role, as requested.

Financial Reporting:

  • Prepare and present accurate, timely, and comprehensive financial statements to the board of directors, executive team, and relevant stakeholders.
  • Maintain transparency in financial reporting, ensuring compliance with accounting standards and regulations.
  • Provide financial reports and analysis to assist in decision-making processes.

Payroll/ Benefits:

  • Ensure compliance with federal, state, and local payroll tax regulations. Stay up-to-date with changes in payroll laws and regulations and make necessary adjustments to payroll processes.
  • Establish and maintain internal controls over payroll processes to prevent errors and fraud. This includes implementing segregation of duties, regular audits, and review procedures.
  • Supervise the administration of employee benefits tied to payroll, such as health insurance and retirement plans. Coordinate with HR to ensure accurate deductions and contributions.
  • Manage wage garnishments, child support orders, and other payroll deductions as per legal requirements. Ensure compliance and accurate processing.
  • Ensure the 401(k) plan complies with all relevant laws, including the Employee Retirement Income Security Act (ERISA) regulations. Regularly review plan documents and operations to guarantee adherence to legal requirements.
  • Act in a fiduciary capacity, making decisions in the best interest of plan participants.

Compliance and Risk Management:

  • Ensure compliance with all relevant laws, regulations, and accounting standards.
  • Manage relationships with auditors, tax authorities, and other regulatory bodies.
  • Coordinates with the organization’s external auditor for timely and accurate reporting of the annual audited financial statements, timely IRS filings, and all other mandated financial reports.
  • Develop and implement internal controls to safeguard the organization's assets and minimize risk.

Grant and Fund Management:

  • Oversee the financial aspects of grant applications, management, and reporting.
  • Work closely with fundraising and development teams to create accurate financial reports for donors and grantors.
  • Ensure proper utilization of funds in line with donor requirements.
  • Provides internal control and cash handling support for special events. 
  • Support organizational fundraising efforts by providing financial insights for grant proposals and reports, and participating in meetings and communications with key donors and funders as needed.

Team Leadership and Development:

  • Cultivates a skilled team of finance and accounting professionals through strategic hiring, comprehensive training, and continuous professional development initiatives.
  • Lead, mentor, and develop a high-performing finance team.
  • Foster a culture of financial accountability, transparency, and professionalism within the finance department.
  • Provide training and support to staff members on financial procedures and policies.
  • Trains branch staff in proper procedures regarding cash receipts, accounts payable, accounts receivable, and budgeting as needed.
  • Assists Branch/Program Directors in budget preparation and management

Collaboration and Communication:

  • Collaborate effectively with the executive team, program managers, and other departments to align financial management with programmatic goals.
  • Work with the Finance & Investment Committee of the Board of Directors to develop annual and capital campaign budgets.
  • Communicate complex financial information clearly and understandably to non-financial stakeholders.
  • Represents the organization to external partners, donors, financial institutions, and governmental agencies as required.
     
Qualifications:
  • A bachelor’s degree in finance, accounting, or a related field. A Master's degree is preferred.
  • Holding a Certified Public Accountant (CPA) or Chartered Financial Analyst (CFA) designation is highly desirable.
  • 5 years of progressive financial leadership experience, especially within nonprofit organizations, with an understanding of payroll and payroll compliance.
  • Strong familiarity with nonprofit accounting standards and regulations.
  • Exceptional financial analysis, strategic planning, problem-solving, critical thinking, communication, and interpersonal skills.
  • Proficient in financial software and tools.
  • Commitment to the mission and values of the organization.
  • Demonstrates the ability to make well-informed, objective decisions, understanding their impact and implications.
  • Demonstrated ability to communicate effectively both verbally and in writing, with the capacity to convey information clearly, professionally, and appropriately to a variety of audiences, including staff, leadership, and external partners.
  • Displays high energy, initiative, and the ability to work under pressure, especially in leadership roles during times of change.

 

PHYSICAL REQUIREMENTS/WORK ENVIRONMENT: 

While performing the duties of this job, the employee:

  • Must be able to remain in a stationary position for extended periods of time while working at a desk or computer.
  • Occasionally, move about the office to access file cabinets, office equipment, and other work areas.
  • Regularly operates a computer and other standard office equipment, such as a calculator, copy machine, and computer printer.
  • Must be able to communicate information and ideas so others will understand. Must be able to exchange accurate information in these situations.
  • Must be able to observe and review information at close range, including documents and computer screens.
  • May occasionally need to lift or move items up to 10-15 pounds (files, office supplies, equipment).
